Description:

Reporting jointly to the legal professionals in the share and the Manager, Legal Assistant Services in our Toronto office, the successful candidate will independently manage the daily activities of up to 4 lawyers in their litigation practices.
Hours of work are from 9:00 am to 5:00 pm EST. Occasional pre-authorized overtime may be required to meet client needs. This is a hybrid role.

REQUIRED KNOWLEDGE AND EXPERIENCE

  • Completion of a post-secondary Legal Assistant or Law Clerk program
  • A minimum of 3-5 years’ experience as a Legal Assistant, preferably in civil and commercial litigation (large firm experience preferred)
  • Strong organizational skills and attention to detail.
  • Excellent written and verbal communication skills with in-depth understanding of business and legal terminology
  • Knowledge of court procedures, and experience working with Case Centre and JSO portal.
  • Proficiency in Microsoft Office Suite/MS Office 365, Adobe Pro, Excel, iManage Work, and digital dictation.
  • Experience with billing and docketing systems (Elite 3E, InTapp preferred).

Responsibilities:

  • Handling all administrative responsibilities including managing lawyer’s calendar, scheduling meetings and court appearances, preparing and submitting expenses, and entering timely and accurate dockets
  • Preparing and maintaining a bring-forward system, as well as providing appropriate reminders
  • Maintaining client files and records, ensuring they are up-to-date and easily accessible
  • Monitoring client emails and bringing important communications to the lawyer’s attention
  • Transcribing dictations and occasionally preparing legal documents from digital dictation
  • Preparing and formatting documents, assisting with finalizing court materials and filing with the court
  • Liaising with Billing Coordinators for the monthly production of accounts
  • Providing backup coverage in the absence of other assistants
  • Other duties, as assigne
