QUALIFICATIONS:

  • Legal Assistant diploma or college certification
  • Experience with court filings; assisting with the preparation, filing and service of court documents, including tracking completion and reporting to the responsible lawyer.
  • Able to keep up to date with latest updates or changes to filing processes and protocols.
  • Familiarity with a law firm environment, ideally 3 years of litigation legal assistant experience, however consideration of equivalencies will be given for the right candidate.
  • Passion for working in a team environment, willing to help others and comfortable sharing work assignments.
  • Strong grammatical skills, including punctuation, proofreading and attention to detail is a must.
  • An ability to produce a high quality of work, occasionally under tight timelines.
  • Able to meet deadlines, work well under pressure and take initiative using sound judgement.
  • Strong interpersonal and communication skills.
  • Excellent organizational and follow-up skills; ability to set priorities.
  • Proficiency in Microsoft Office applications, particularly Excel, Word formatting, and Outlook contacts and calendar functions.
  • Experience using LEAP is an asset.

Responsibilities:

ROLE:

The Legal Assistant provides both administrative and practice management support to all legal professionals (Partners, Associates, Counsel and Law Students) in various practices across multiple offices. This position requires a confident, dependable, and service-minded assistant with the ability to manage multiple tasks and adapt to changing priorities as needed. The Legal Assistant will have the opportunity to meet and collaborate with people across the firm. They will provide seamless service and coverage for leaves, absences, and peak work volumes and will be assigned a variety of firm-wide responsibilities as needed.
The successful candidate will be organized, discreet, meticulous and have a client-first approach to work. In addition, the successful applicant must be collaborative and accustomed to working as an effective team member with other assistants.

RESPONSIBILITIES:

· Executes routine administrative assignments, including drafting, preparing, and proofreading correspondence, expense reimbursements and various documents and forms.
· Enters billable time for Lawyers as requested, ensuring accuracy.
· Maintains and uploads files to LEAP and organizes hard copies of files where required.
· Responds to client inquiries expeditiously and conducts follow up; keeping the lawyers apprised of interactions in their absence.
· Maintains the precedent systems following the firm protocol and managing the corresponding calendar.
· Updates and maintains client/matter lists and current client contact records electronically.
· Coordinates conference calls and/or zoom for meetings as requested.
· General administrative duties such as scheduling appointments and meetings, photocopying materials, booking meetings rooms, coordinating travel requests.
· Collaborating with other departments and team members internally to provide documents and other materials in a timely manner.
· Demonstrates a team approach; supports and provides coverage for team member absences.
· Any other related duties may be assigned from time to time.
