Holmes & Hills Solicitors is a large regional firm of solicitors with seven offices across Essex and Suffolk and over 200 legal professionals across a number of specialist departments. Holmes & Hills works in partnership with clients across East Anglia, including businesses, individuals, families and local authorities, to build long standing relationships, protect clients’ interests and support clients’ growth and development.

Responsibilities:

Working under supervision to support their allocated fee earner (which can be changed if the business requires) with the full range of conveyancing procedures from commencement to completion of transaction, to include provision of secretarial/administrative support to their nominated fee earner to include typing of audio dictation where necessary. We have Full-time and Part-time roles available over various office locations.

Fee Earner Support:

  • Taking instructions from allocated fee earner and/or Head of Deptartment for NBSO sale and purchase files, transfers of title, discharge and remortgage work
  • Dealing with clients, estate agents, mortgage lenders and solicitors at every stage of the transaction from initial instructions, throughout the pre-exchange

stage (under supervision) and through to completion

  • Handling a large volume of incoming telephone calls from Clients requiring advice and updates on their cases and providing information where able
  • Ordering searches where relevant and under supervision reviewing the same and interpreting results
  • Preparing Certificate of Title and ordering funds from Lender in absence of post exchange
  • Preparing settlement terms in readiness for completion of transaction
  • Preparing bills and statements
  • Ensuring that case files are managed in accordance with the requirements of the Office Manual
  • Running completions in the absence of post exchange

    Administrative:

  • Maintaining checklists for file and lexcel requirements

  • Typing documents, letters, attendance notes, file notes & bills, via digitial dictation
  • Use of Precedent for Windows to check/amend client data held on SOS
  • To administer filing which will include daily filing and the opening, closing, storage and retrieval of client files in accordance with the detailed procedures

contained in the Office Manual

  • To prepare mail and enclosures for despatch.
  • To make appointments, arrange meetings and to maintain an up-to-date diary for his/her Fee Earner
  • To attend clients both in person and on the telephone and to provide such support in a professional and friendly manner in keeping with the firm’s

standards for client care

  • To provide Secretarial cover across the team as a while during perio
