Booth Udall Fuller is seeking a Legal Office Assistant to work in-person in our Tempe, AZ office. We manage complex legal matters and strive to advance the expected level of legal representation in the intellectual property community in unique ways that bring additional value to our clients. REQUIREMENTS:
- Must work in the Tempe, Arizona Office.
- Positive, professional, courteous, and team oriented.

- Communicate clearly and thoroughly (written and verbal).
- Strong computer skills, including proficiency with Windows and Microsoft Office Suite applications (Outlook, Word, and Excel).
- Organized self-starter with attention to detail and the ability to prioritize tasks and responsibilities to meet deadlines.
- Ability to work independently, manage multiple priorities, and work well under pressure in a fast-paced environment with a very high degree of accuracy.

Responsibilities:
- Cover front desk, phones, retrieving, processing, and sending mail, etc.
- Assist with outgoing letters to clients, etc.
- Schedule client appointments.
- Assist with onboarding of staff and attorneys.
- Assist with marketing projects.
- Schedule employee annual reviews.
- Coordinate birthdays, training, end of year celebration, and other firm events.
- Help oversee physical facilities, including maintenance and upkeep.
- Schedule regular maintenance of office equipment (copier, postage meter, etc.).
- Keep kitchen, conference rooms, and other general office areas clean and ready.
- Order office/kitchen supplies on regular basis.
- Coordinate with firm vendors.
- Process invoices from foreign associates for finance.
- Monitor attorneys’ dockets and inform them of upcoming deadlines.
- Generate standard and customized docket reports.
- Conduct mail matching, de-docketing of files, and transfer-in and transfer-out audits.
- Conduct in-office conflict checks, create new client file structures and client database records.
- Communicate notices and paperwork received from the US Patent and Trademark Office.
- Assist with other patent and trademark prosecution projects as assigned.
