POSITION SUMMARY:

The legal operations manager will work closely with the general counsel and business stakeholders at all levels of the company. As our legal operations manager, you will be key in creating processes and practices to improve the day-to-day efficiency and effectiveness of the legal team, facilitate change, and control costs.
This is a generalist role that involves managing and supporting projects across the full range of subject matter supported by the legal team. You must be able to adapt to changing priorities and business needs and must be proactive in identifying areas of need and generating action plans.

KNOWLEDGE SKILLS AND ABILITIES:

EDUCATION AND/OR EXPERIENCE:

  • BA, BS or equivalency (High School Diploma plus 4 years of related work experience or Associates Degree and 4 years of related work experience)
  • 2+ years of experience in legal operations management at an in-house setting or at a law firm; alternatively, 8+ years of experience supporting attorneys as a paralegal, legal assistant or law office manager
  • Demonstrated ability to independently move projects forward by gaining the support needed from others while working in a cross-functional role
  • Proven track record of collaborating with groups (e.g., finance, operations, sales, IT) to set objectives and produce meaningful results
  • Excellent analytical, problem-solving, and communication skills
  • Able to thrive in a fast-paced environment and successfully manage multiple deadlines
    PHYSICAL DEMANDS: The physical demands for this position require sitting and use of hands/arms for extended periods of time using a variety of computer programs, electronic communication tools and related office equipment to accomplish work tasks.     WORK ENVIRONMENT: The work environment consists primarily of an office setting but does require some travel within a heavy industrial environment when performing certain administrative errands or overseeing special functions. Responsibilities:

ESSENTIAL FUNCTIONS AND MAJOR RESPONSIBILITIES: (This list is not intended to detail all aspects of the assigned work but is representative of the job’s overall responsibilities)

  • Assist in the creation and management of the Legal Department budget, including processing invoices from outside counsel, tracking them against outside counsel’s proposed budget, drafting reports regarding performance to budget, and communicate with outside counsel regarding actual to budget costs and fees vs. budget.
  • Report on key operational and substantive metrics for the practice groups (legal, regulatory, contracts management, environmental, internal audit, corporate compliance, industrial security and governance) that will better inform decision-making, including matter and work product analyses
  • Identify and implement legal department tools to streamline new or existing practices, as well as managing design, rollout, and training for new systems
  • Take a leading role in corporate governance and business entity management, working with outside registered agent and corporate services provider; prepare and/or review documents for private equity, entity formations, mergers and acquisitions, and dissolutions
  • Develop and enforce processes and policies to manage outside counsel usage and spend
  • Oversee the real estate/lease administration
  • Collaborate with cross-functional teams including sales, support, service, business development, regulatory, IT, and finance, as well as various business units on legal matters
  • Maintain corporate and licensing compliance, including registrations with many federal, state and local agencies
  • Receive service of process documents and route to appropriate internal stakeholders
  • Maintain department intranet page
  • Respond to a variety of requests from both internal and external stakeholders, including Executive Staff, Outside Counsel and any other internal departments that may require relevant information and operational support.
  • Support the operations of the Legal Group that includes contracts management, government contract compliance, internal audit, industrial security, environmental, and the practitioners, other professionals and para-professionals.
