THE OPPORTUNITY

Fisher Phillips an award-winning international employment and labor law firm is seeking a full-time Legal Secretary to support the Cleveland office. This position has a dual performance function: first, supporting the delivery of quality legal services to clients by providing secretarial and administrative assistance to attorneys, performing complex and specialized secretarial and clerical tasks, and working collaboratively in a team-oriented environment. This position supports a set of attorneys as a primary assignment and also provides backup secretarial assistance to others as needed.

REQUIREMENTS

  • Minimum of a high school diploma required (College degree is preferred, but not required).
  • A minimum of five years of experience as a legal secretary is required.
  • Lexis Nexis, Pacer, ECF, Desksite or document management system, CompuLaw, Concur, Word, Outlook, PowerPoint, and Excel.
  • Demonstrated knowledge of legal terminology, legal documents, and legal processes in the Litigation Department, including the ability to mark and generate a table of contents and table of authorities.
  • Accurate typing at a net speed of 65+ wpm (shorthand/speed writing a plus).
  • Strong computer proficiency in the use of MS Office (Word, Excel, PowerPoint, and Outlook), Document Management Systems, Time Entry, e-filing and database software.

Responsibilities:

  • Provide excellent customer service by managing phone lines, directing calls, and greeting clients and vendors.
  • Ensure timely and accurate mail handling, including regular, certified, and overnight mail.
  • Perform legal research and assist with e-filings, pleadings notebooks, and exhibit preparation.
  • Maintain organized and orderly files, including updating client records and managing document management systems.
  • Draft standard pleadings, correspondence, memoranda, and other legal documents.
  • Review vendor invoices, prepare check requests, and ensure adherence to client-specific billing guidelines.
  • Manage court document filings, adhering to local and judge-specific requirements.
  • Provide proactive support to attorneys, including drafting documents, managing deadlines, and organizing meetings.
  • Assist with non-billable activities such as CLE compliance, presentations, and business development tasks.
  • Enter, review, and revise timesheets accurately, ensuring compliance with office policies and deadlines.
  • Exhibit strong clerical skills, including typing, word processing, and managing firm systems and databases.
  • Maintain professional organization, prioritize work assignments effectively, and offer assistance to colleagues when needed.
