Description:
The Role
- To provide a high quality, comprehensive secretarial service to principals in the group/division/firm as required. • Undertake all aspects of the secretarial role including administrative and support services as required using the most appropriate tools and resources for the task. • Provide an excellent service to clients. • Demonstrate flexibility in supporting principals and fellow secretaries. • Proactively contribute to the group/division/firms’ success by actively seeking to improve working processes, anticipate needs of clients and colleagues and take action accordingly. • Undertake all document production tasks to the highest standards and to agreed deadlines using appropriate software and all available resources. • Type from audio and manuscript, using house style documents and non house style where required. • Proof read documents to ensure accuracy. • Prepare PowerPoint presentations and Excel spreadsheets. • Diary management – arranging meetings and conference calls, liaising with clients, prioritising and rescheduling meetings as appropriate (must be able to anticipate principals’ needs in scheduling diary). • Arrange conference calls, meetings, catering. • Co-ordinate all travel arrangements including taxis, accommodation, booking flights and expense forms as appropriate. • Prepare and collate papers ahead of meetings. • Preparation of the Engagement Letter/Terms of Business/submission to Engage and following up where engagement terms are not in place. • Assist in preparation of bills and bill narratives and request draft bills and review for accuracy. • To monitor the reception area and ensure that meeting rooms are always tidy and presentable and ready for use. • To promptly answer telephone calls on the Riyadh reception line taking messages where required.
Requirements
- Bachelor’s degree in Law (LLB) or equivalent legal qualification. • 3-5 years of relevant experience as an executive secretary, legal assistant, or similar role. • Previous experience in an international law firm or similar professional services environment. • Experience in handling board-level activities, such as drafting minutes and processing resolutions. • Fluency in Arabic & English with excellent written and verbal communication skills.
