Responsibilities:

Reporting to the Senior Legal Counsel, the role of the Legal Secretary provides comprehensive administrative support to the in-house legal department, ensuring the smooth operation of the department. This role requires a detail-oriented professional with excellent organizational & communication skills, a strong understanding of legal terminology, and the ability to manage multiple tasks efficiently. The Legal Secretary will assist with document preparation, scheduling, and communication, contributing to the effective functioning of the legal department.

The role is varied, with a focus on:

  • Drafting, formatting, and proofreading legal documents, correspondence, and reports
  • Maintaining and organising electronic and physical files in accordance with company policies and legal standards
  • Serving as a point of contact for internal and external stakeholders, including responding to inquiries and conveying information as appropriate
  • Assisting in the coordination of communications with outside counsel and other legal service providers
  • Assisting in the preparation of presentations and reports for legal matters
  • Tracking and managing departmental expenses, including invoicing and billing processes
  • Assisting in the preparation of budget reports and forecasts as needed
  • Managing registers, including safe custody and intellectual property
  • Ensuring compliance with company policies and legal regulations regarding document retention and confidentiality
  • Providing legal admin support for a wide range of legal matters, including but not limited to Estate matters
  • Managing the execution process of Wesley Mission contracts
  • Supporting the Paralegal with the development of legal operations processes and procedures to deliver efficiencies in legal services
  • Preparing and submitting applications to Uniting Church Property Trust for document execution.
