DESCRIPTION

As a Support Assistant, you will perform a comprehensive range of administrative and solicitor support tasks that are vital to our legal operations. You will work closely with solicitors, clients, and other stakeholders, ensuring that all administrative processes are handled with precision and professionalism. This role requires a blend of technical proficiency, organisational skills, and a proactive approach to problem-solving.

SKILLS, KNOWLEDGE AND EXPERTISE

  • Proficient IT skills, particularly in Microsoft Office.
  • Strong ability to produce stock letters, forms, and documents accurately and efficiently.
  • Confidence and proficiency in handling telephone communication, essential for maintaining regular client contact and building trust.
  • Excellent organisational and time management skills, with the ability to work under pressure and meet deadlines.
  • Effective interpersonal and communication skills, with a client-focused approach.
  • Flexibility and a cooperative attitude towards working with others.
  • Previous technical and administrative experience in a legal environment.

Responsibilities:

  • Produce and manage standardised legal documentation, letters, emails, reports, court documents, and forms with accuracy, ensuring correct use of legal and routine vocabulary.
  • Serve as the first point of contact for clients, defendants, and third parties. You’ll be responsible for handling routine inquiries, providing updates, and directing calls to the appropriate sources.
  • Your ability to effectively communicate and maintain client relationships will be critical to the role.
  • Manage diaries, arrange meetings, appointments, travel, and accommodation, including coordinating with medical specialists and organising conferences with Counsel.
  • Sort files for costing, monitor returns, and check bills for disbursements. Maintain and update costs spreadsheets.
  • Perform various administrative tasks, such as data entry, case management, and maintaining files according to internal procedures. Assist with clerical duties like case opening and closing, cheque handling, and document sorting.
  • Coordinate marketing materials for client events within the unit.
