Responsibilities:

ROLE OVERVIEW

Our lettings coordinators are vital to the success of our business. You will be managing the onboarding of landlords from the compliance checks through to the advertising and marketing of properties. Acting as a liaison between our landlords and tenants, handling inquiries and ensuring adherence to contractual obligations. Manage the day-to-day operational running of the Lettings Team to ensure that they are able to operate at their optimum level, resulting in our clients and customers experiencing the best service.

KEY RESPONSIBILITIES

  • Sending out paperwork to landlords and ensuring the property is compliant before marketing
  • Creating and updating property details on our system
  • Staying up to date with the latest industry legislation and Anti Money Laundering procedures
  • Keeping in contact with our centralised deal progression and property management teams to ensure we have all documents in place before a move in
  • Preparing for office audits (Internal and External)
  • Preparing Market Appraisal packs and send out letters from your Head of Lettings
  • Booking Photography, Floorplans and EPCs through our preferred suppliers and upload these on to the system and website
  • Creating office marketing materials - eye catching brochures for our negotiators to take out on viewings
  • Working on marketing for the office using tools and in conjunction with the marketing team
  • Arranging for re-evaluation by Head of Lettings of any relet properties and preparing the necessary documents for remarketing
  • Recording and submitting expense claims
  • Handling incoming phone calls for the team with the highest level of professionalism
  • Applicant and client care in line with company procedures
  • Managing incoming invoices and arranging for payment
  • Organising meetings, setting up calls and booking meeting rooms
  • Taking responsibility for signing in and signing out keys
  • Sitting at reception and greeting any clients that come into the office
