Job Details:
This role is responsible for the administration of License Management providing key administrative support to the Licence Co-ordinator, ensuring all license records are maintained throughout their lifecycle, that enable the Cubic operational teams to deliver exceptional service to high profile and demanding clients. The License Administrator will also ensure accurate records are maintained to support hardware renewals and general procurement as required to support the customer infrastructure.

Essential Job Duties and Responsibilities:

  • Oversee and maintain comprehensive license records throughout their lifecycle, from procurement to renewal, ensuring all systems and data are kept up-to-date.
  • Coordinate procurement and renewal requests, working closely with subject matter experts (SMEs), the Commercial team, and customers.
  • Manage the procurement process, including obtaining quotes, raising purchase requisitions, and overseeing invoice approvals.
  • Track and monitor licenses, hardware renewals, and procurement activities, ensuring timely updates and liaising with stakeholders to resolve issues.
  • Assist in maintaining accurate license attributes across systems, supporting asset and configuration management processes.
  • Create and present reports for senior management and customers, and support the development of license management policies and procedures.
  • Ensure compliance with Service Level Agreements (SLAs) and Operational Level Agreements (OLAs), contributing to continuous improvement efforts.
  • Adhere to company standards in health, safety, quality, and security procedures.

Minimum Job Requirements:

Essential:

  • Minimum 5 GCSE grades C and above including Math’s and English or equivalent.
  • Strong experience in report creation and analysis using Word and Excel, with advanced Excel skills.
  • Technical writing expertise and a basic understanding of contracts.
  • Proven ability to identify and resolve issues independently through data analysis.
  • Excellent written and verbal communication skills.
  • Extensive experience in data analytics, with a focus on uncovering and addressing issues.
  • Skilled in gathering customer requirements and managing stakeholder relationships.
  • Demonstrated customer service abilities and experience working to ISO20000 standards.

Desirable:

  • Extensive experience in creating, updating and maintaining License Records within License Management Systems or other License Management repositories
  • Experience maintain records in SharePoint lists
  • Experience with License Management toolsets, such as ServiceNow
  • Considerable experience identifying and tracking Licenses
  • Prior knowledge of Cubic products and/or systems
  • Experience of working within the rail or bus industry
  • Experience of working in commercial contract management
  • Experience of working with service level agreements
  • Experience of delivering workshops/training sessions
  • Database Administration Skills
  • Certification in ITIL
