ONA is seeking to hire a Local Executive/Structural Lead for our Dues and Membership Services Team. Reporting to the Manager, the Local Executive/Structural Lead role is responsible for maintaining accurate tracking of the Local & Bargaining Unit governance structure and ONA leadership roles. They act as a key liaison with stakeholders in all aspects of the work of the team. They hold a central lead role and provide support with various processes, events, and new development initiatives.
Responsibilities:
- Accurately tracks and maintains the Local and Bargaining Unit structure and related attributes, including adding, editing, and merging of ONA Locals and Bargaining Units as identified by ONA’s BOD and staff.
- Accurately maintains Local, Bargaining Unit, and committee positions in accordance with ONA’s constitution, policies, and provincial tracking limits.
- Proactively identify membership record duplication and accurately perform member merges. Proactively look for data inconsistencies and works with Managers and team on corrective measures and practices.
- Provides lead level support and services for related systems and technology including but not limited to UMS, Access ONA (leader/member portal), Adobe-sign, Dynamics/CRM, OneDrive and Simply Voting. Including troubleshooting issues, resolution and testing as required.
- Provides lead level support for various provincial, central and Local/Bargaining Unit elections etc. Including file preparation, QA, tracking and provision of voter support.
- Provides lead level support for processing and supporting the Access ONA (leader/member portal) submissions. Including inquiries related to access, permissions, and navigation. Monitors trends, issues, and supports appropriate resolutions.
- Provides first line of support for informational requests for listings, reports, stats and various ad-hoc requests for a variety of ONA stakeholders. Including production, provision, and retention of organizational scheduled reports.
- Provides first line of support for ONA’s expansion into retiree classification tracking.
- Creation and provision of education to leaders and staff, on a variety of dues and membership related topics and through a variety of mediums (written, remote, in-person, webinars etc.).
- Actively prioritizes and coordinates daily activities and provision of event-based support. Including but not limited to intake distribution and support, yearly executive review, audit, Local funding entitlements, leadership meetings, training, and support.
- Proactively contributes to the overall deliverables and success of the team.
- Participates in various new initiatives. May involve design, creation and efficiency suggestions related to processes, applications, systems, and reports. This may also include documentation, training, testing and other quality assurance aspects.
- Ability to assess, analyze and convey user requirements and make recommendations related to ONA’s transition to new technology and ongoing improvements.
- Work effectively both independently and with various ONA staff, teams, leaders, and other internal/external stakeholders to support the work of the Dues and Membership Services Team.
- Provides direct support to the Managers and back-up support to the team as needed. May perform other related duties as assigned.
- Occasional provincial travel is required.
- Flexibility to work the occasional evenings and/or weekends.
