Description:

Job Summary
On this position, you will be part of the IFF Order Fulfillment team in the EMEA region supporting the Pharma Business. You will be responsible for processing and coordinating domestic, imports, and export shipments out of our warehouses consistent with regulatory requirements for movement of both material and information.

Position Responsibilities:

  • Create and follow-up of deliveries/shipments from all order types including intercompany stock transfer and samples when required up to customs clearance – as appropriate – and the delivery to the customer.
  • Do batch allocation to the order according to the warehouse instructions/agreed specials from inventory and may need to develop label and packing instructions for the warehouse.
  • Organize specific transport (products return, between customers for non-divisional products, for semi-finish products or raw materials)
  • Proactively liaise with cross functional groups (Customer service, supply chain/warehouses/quality/planners/freight forwarders…) to ensure orders ship in a timely manner to meet the customer’s promised delivery date
  • Manage any customer logistics requirements (via Customer Service, other internal departments…) and follow up with required action for response to resolve issues providing excellent service level to customers (internal and external)
  • Facilitate rush orders preparation outside standard pick/pack time with different departments
  • Schedule regular execution meetings and updates with warehouses, Brokers, Freight Forwarders and Customs to track KPIs and develop / track improvement action plan. Support 3rd party as needed (IT issues for example)
  • Communicate order information to Broker who arranges the documentation and releases to the Customer.
  • Prepare & Receive shipment documentation, validate information, and prepare necessary paperwork. May have to request revised documents.
  • Adhere to all company policies, rules and regulations and committed to company’s quality and continuous improvement programs such as MS ISO 9001, GMP, HACCP, ISO 14001 and OHSAS 18001
  • Provide the freight costs within the organization for all shipments
  • Lead Logistic Complaints resolution for the shipping sites in charge of using Sales Force (tool used to track complaints).
  • Create & follow-up on all purchase requisition in SAP for all kinds of logistics services (Transport, warehouse, Service etc..). Work with procurement & finance to ensure all data in SAP reflects all needs (cost center, transport cost, warehouse costs, BDP costs etc…).
  • Check all Late Order Reason code (LOR) related to logistics and provide inputs.
  • Audit Support: provide inbound / outbound documents, explain process and check with external partners as needed.
  • Backup for other Logistic team members within EMEA (holidays, sick leave etc..)
  • Any other duties that may be assigned from time to time by supervision

Job Requirements

Education and Experience

  • Associate’s degree in business administration, Supply Chain or Logistics
  • Certificate or Training in Logistics & Supply Chain
  • 2 -4 years’ experience in Logistics and Supply Chain related work
  • Computer skills covering MS Office, SAP is preferred.
  • Fluent English in speaking and written
