Job Summary
The Pharma Solutions business will be taking on its next chapter of growth as a trusted partner for the pharmaceutical industry with the announcement to sell Pharma Solutions to Roquette. This move will position Pharma Solutions to expand its industry leadership through continued investment in innovation to meet the evolving needs of pharmaceutical manufacturers and developers worldwide.
The sale is presently expected to close in the first half of 2025, pending regulatory approvals and other closing conditions. The Pharma Solutions business unit will remain a part of IFF until close and, at such time, it will transition to Roquette. In applying for this position, you acknowledge your awareness that the position is a part of the Pharma Solutions business unit and has been identified to transition to Roquette.
On our Stade Site we produce high quality Methylcellulosics products (METHOCEL) for pharmaceutical excipients and furthermore for a broad range of food applications and industrial specialties.
For our logistic department we are looking for an experienced:
Logistics Service Coordinator (f,m,d)

Your main accountabilities:

  • Organize standard and specific transports (to customers, STOs, products return etc.) in and outside SAP.
  • Proactively liaise with cross functional groups (CST – Customer Service Team, Supply Chain/warehouses/quality/freight forwarders…) to ensure orders ship in a timely manner to meet the customer’s promised delivery date.
  • Manage customer logistics requirements (via CST, other internal departments) and follow up with required action to resolve Logistics issues providing excellent service level to customers (internal and external).
  • Work on rush shipments with shorter Logistics planning time.
  • Monitor the delivery and shipment creation process (either done automatically by Batch runs or Supply Chain (NC)). Correct shipment data, in case necessary, connect with carrier and trigger EDI messages, whenever useful.
  • Support delivery note activities (done by warehouses or Supply Chain) and clarify misleading instructions with CST (e.g. label, Incoterm). In case of issues with packing instructions involve IFF Logistics SME or Specialists.
  • Control GI bookings done by warehouses, clarify missing GIs and connect with carrier to get shipments loaded.
  • Support to fix shipping issues will be provided by LSC SME (and Logistics Specialist).
  • Contact CST in case of a changed delivery date.
  • Support document creation: CMR, Packing list, Proforma Invoice, DGD are printed by warehouses.
  • ABD (MRN), A.TR and other Export related documents are arranged by BDP (Document handler).
  • Coordinate document requests with warehouses and carrier (provide upon request (audit, POD for customer)
  • Create shipment costs, if not done automatically. Check weekly SCDs with zero costs and correct them. For Ocean shipment connect with BDP to arrange EDI transfer in case SCD is missing.
  • Provide the freight costs within the organization for all shipments. Connect with nominated carrier to request quotations for all modes (Road, Ocean, Air).
  • Approve costs in case necessary towards carrier (e.g. spot rates, waiting or demurrage costs) or connect with LSC SME and Logistics Specialist. In case of Air freights reach out to CST to get approval when necessary.
  • In case of Trax, manage client review to allow invoices to be paid (LSC SME).
  • Salesforce: investigate root cause and provide potential corrective actions on logistics complaints, add findings in sales force and closely liaise with the customer service team who will engage directly with the customer (LSC SME).
  • Adding Booking confirmation data in SAP for Ocean and Air shipments.
  • Coordination of airfreights with carrier (only for non hazmat): ask for quotation, reach out for approval, information to CST

Your qualification:

  • German commercial vocational training (e.g. Industriekauffrau/-mann), associate degree in business administration, Supply Chain or logistics or comparable professional education
  • Minimum of 6 years of work experience on Logistics/Exports
  • Fluent in German and English, verbally and in writing is mandatory
  • Computer proficiency and ERP experience (SAP is mandatory)
  • Knowledge of international Trade regulations.
  • Knowledge of transport (types, carriers, rules, incoterms).
  • Reactivity, rigor, good human relations skills, self-sufficient, versatility, flexibility.
