JOIN OUR TEAM AS A PART-TIME MAINTENANCE ADMINISTRATOR
We are in search of an experienced administrator to work in our Head Office in Poole. You will need to be eager to embrace a fresh opportunity within a fast-paced setting. The perfect candidate should be adaptable, have a desire to acquire new skills, and be comfortable working individually or as part of a supportive team in a face-to-face environment.
In this position, you will play a vital role in supporting the Maintenance Team and, as such, we are seeking an individual with a strong, optimistic mindset and a sharp attention to detail. The responsibilities will be diverse, requiring efficiency and excellent organisational skills.
Job Title: Maintenance Administrator
Location: Poole, Dorset
Salary: £12.50 - £13.50 Depending on Experience
Job type: Part-Time, Permanent
Working Hours: 20 - 30 hours per week, Monday to Friday, Permanent
EXPERIENCE REQUIRED:
- Previous experience in a similar role is desirable
- Strong communication skills as you will be liaising with colleagues across the business as well as with clients on the telephone and via emails
- Excellent numeracy and IT skills
- Organised, accurate with a very high attention to detail
- The ability to make decisions whilst working under pressure.
- A proficient user of MS Office
Responsibilities:
RESPONSIBILITIES:
- Basic quote preparation for maintenance contracts
- Preparing pro-forma invoices for payment through Sage 200
- Chase time-sheets and job sheets to ensure receipt in a timely manner
- Contacting customers to chase outstanding invoices and quotes
- Entering Sales orders for goods, services and labour
- Scheduling appointments for our engineers
- Preparing Job Packs / Calendar Appointments for engineer visits
- Costing engineers time from weekly timesheets to a sales order
- Basic quote preparation for remedial works
- Using Servicelife to record all customer and site history
- Answering the phones and responding to emails as required
- Booking Hotels for engineers
- Managing ‘Van Stock’ and returns
- Other duties as required appropriate to the role
