POSITION SUMMARY
We are seeking a Management Analyst I to join our team supporting the Department of Veterans Affairs’ Office of Small and Disadvantaged Business Utilization (OSDBU) Office of the Executive Director ("Front Office") executive support services to their senior leadership the Executive Director (ED), Deputy Executive Director (DED), and other leadership. This position is hybrid with 3 days in office required. Candidate must live within commuting distance of Washington, D.C. office.
QUALIFICATIONS
- Bachelor’s degree in Business, Business Administration, or related field.
- Requires 5 years of front office experience supporting executive personnel.
- Requires 3 years of supporting multiple programs.
- Strong technical writing capabilities.
- Strong critical thinking and communication skills.
- Must be a U.S. citizen able to obtain a Tier 2 Moderate Risk Background Investigation. (MBI)

Responsibilities:
- Provide multifaceted support to OSDBU Front Office in internal, external, and Congressional hearings and briefings discussing the small business program (as examples of topics) and provide project/task management.
- Attend meetings with and for OSDBU leadership, providing strategic planning services, and complete organizational and program tasks.
- Plan, schedule and execute all customer business engagements (e.g., primary planner for logistics, room scheduling, IT systems coordination, room layout, processing security, name badges, escort, keynote speaker support, communication planning etc.).
- Develop outreach strategic plans for optimized customer business engagements with veteran-owned small businesses.
- Maintain detailed written records of all customer business engagements. Capture discussions, agreements, decisions, meeting minutes, action items, after action reports, etc.
- Establish performance metrics and key performance indicators (KPI’s) for measuring accomplishments and successes of participants for correlation to customer business engagements.
- Assist in conducting surveys, focus groups, and other accepted techniques for data collection in support of OSDBU organization studies that specifically assess and analyze current organization states and management systems.
- Draft correspondence documents and communications necessary to maintain a steady feed of information and traffic to all communication channels, such as web content and social media.
- Develop, implement, and evaluate stakeholder engagement objectives.
- Summarize the content of incoming materials, specially gathered information, or meetings to assist executives; coordinate the new information with background office sources; draw attention to important parts or conflict.
- Provide key executive level support services in the daily multitude of time sensitive and complicated tasks, assessing the proposed daily and future plans, development of action plans, office procedures, implementation of the complex organizational plans, managing due outs, and performing quality assurance.
- Develop briefing slides, memorandums of various types, organization charts, and monthly administration level status reports.
- Provide support services with regards to managing calls, emails and all other executive correspondence in a timely and efficient manner; documenting meeting notes; and coordinating meeting schedules and calendars.
- Arranges, on own initiative, for staff members to represent organization at conferences and meetings, establishes appointment priorities, or reschedules or refuses appointments or invitations.
- Prepares reports including conclusions and recommendations for solution of operational and administrative problems.
- Composes correspondence requiring strong technical writing and editing skills, as well as knowledge of executive’s views, philosophy, and some understanding of technical matters.
- Some travel under this effort to perform the tasks associated is anticipated, as well as to attend OSDBU related meetings or conferences throughout the period of performance.
- Assists in the performance of other administrative duties as assigned.
- Provide in office desk support 3-days a week as scheduled by your Program Manager.
- Performs miscellaneous job-related duties as assigned.
