Imec’s Legal Office and IP, Contracts and Compliance teams are currently looking for a Management Assistant to assist the team managers, as well as to contribute to the smooth functioning of the teams and the team members by offering support with the administrative and organizational tasks.

The assignment
Your responsibilities are:
- Manage the agenda of managers and team leaders.
- Coordinate and organize internal and external meetings, conference calls, business travel, project events, team events etc.
- Provide support for the team meetings (prepare agenda and presentations, keep minutes, …) and digital workspaces of the teams.
- Manage and monitor the incoming and outgoing correspondence.
- Support the managers and team members in financial processes (ordering, invoice handing, shipments, memberships).
- Act as go-to person and provide solutions for general support, advice, questions and needs.
- Perform various operational and administrative tasks (stock management of office supplies, desk and pc allocations) for the team members.
Required knowledge and skills
- You have a bachelor’s in office management and experience in the job.
- You have excellent organizational skills.
- You can multi-task and prioritize efficiently; you are stress-resistant.
- You are a team-player but are also able to work autonomously and take initiative.
- You have excellent communication skills.
- You have the technical competences to work with Microsoft office (Outlook/Word/PowerPoint/Excel/Teams), SharePoint, One Drive – experience with Power BI is a plus.
- You are looking for a part-time job.
- Languages: a high proficiency of either Dutch or English (or both).
