Job Description:
JOB DESCRIPTION
Perform a variety of secretarial and administrative support for the Associate Dean, Early Research Career Development, Associate Dean, Faculty Development – Clinician-Researcher and Senior Associate Dean, Academic Programmes Management Department, under the Office of Academic Medicine (“OAM”).
- Direct Reporting (50%): Associate Dean, Early Research Career Development
- Maintain an up-to-date list of MD-PhD graduates and their postings in the SingHealth residency program.
- Organise twice yearly group or one-on-one meetings with MD-PhD graduates.
- Provide administrative support for all Early Research Career Development activities.
- Assist in the preparation of the annual budget for Early Research Career Development.
- Matrix Reporting (35%): Associate Dean, Faculty Development – Clinician-Researcher
- Support, organise and manage meetings, workshops and seminars related to Faculty Development – Clinician-Researcher activities. These include preparation of programme materials and meeting minutes.
- Maintain records, including details of mentors and mentees, progress reports, funding allocations, and related correspondence.
- Support in tracking of periodic appraisals for the career development of mentees.
- Matrix Reporting (15%): Senior Associate Dean, Academic Programmes Management Department
- Manage the calendar for the Senior Associate Dean.
- Assist with meeting arrangements, including sending invitations, preparing agendas, presentation materials, managing logistics, attending meetings and taking minutes.
- Other Ad Hoc and Related Duties
- Provide additional support as required by the Direct and Matrix Reporting Officers.
QUALIFICATIONS
- Degree/Diploma in a related discipline with at least 3 to 4 years of relevant work experience.
- Candidates with other qualifications with at least 10 years of relevant work experience may also be considered.
- Prior work experience in a research or academic environment would be advantageous.
- Meticulous, well-organised and have good time management to work in a fast-paced environment.
- Able to communicate clearly, a strong team player and able to work effectively in a diverse work environment.
- Proficient in general software applications that facilitate work operations such as Microsoft Office software including Word, Excel, Powerpoint, Canva, Dalle and productivity tools.
