About the Role: The Management Support Executive (MSE) at Muslimin Trust Fund Association (MTFA) is responsible for offering vital administrative support and assistance directly to the Senior Management. This role plays a crucial part in ensuring the organisation’s smooth, efficient, and successful operation.

CANDIDATE REQUIREMENTS

  • Degree in a related field such as Business Administration, Management, or Communication.
  • Other qualifications or certifications, such as those in project management, administration, or executive assistance will be an advantage.
  • Strong organisational and planning skills.
  • Excellent communication skills, both verbal and written.
  • Attention to detail and accuracy.
  • Good problem-solving skills.
  • Proficiency in office software applications including Microsoft Office Suite and Google Workspace collaboration tools.
  • Ability to work independently and as part of a team.
  • Professionalism and a high level of confidentiality.
  • Flexibility and adaptability to changing demands.
  • A positive attitude and a willingness to learn new skills and take on new responsibilities.
  • Prior experience in a similar role will be an advantage.
  • Able to occasionally work past office hours (time off will be given)

Responsibilities:

  • Scheduling and coordinating meetings, conferences, and appointments for the Senior Management.
  • Handling correspondence, phone calls, emails, and other communication on behalf of the Senior Management.
  • Drafting and preparing reports, memos, and other documents as needed.
  • Conducting research and analysis to support the Senior Management in decision-making.
  • Managing and organizing files, records, and other documents.
  • Managing travel arrangements and preparing expense reports for the Senior Management.
  • Liaising with other departments, employees, clients, and vendors to ensure smooth communication and operations.
  • Handling confidential and sensitive information with discretion.
  • Assisting in the planning and execution of events and projects.
  • Managing Board Meetings, including collating monthly departmental reports, scheduling monthly Board meetings, recording and circulating minutes of meetings.
  • Preparing meeting materials and logistics, such as meeting agendas, collation of slides, and setting up meeting rooms.
  • Actively participating in monthly Board meetings, recording detailed minutes, and preparing concise meeting summaries.
  • Maintain and update MTFA’s members register.
  • Monitor MTFA’s membership subscriptions and payment of membership fees.
  • Coordinate monthly Council Meetings, prepare agendas, and send out meeting notices to members.
  • Compile reports for distribution to council members for the monthly meetings.
  • Prepare draft minutes of council meetings and update relevant departments on decisions made.
  • Collate annual reports of Committee Chairmen and prepare draft Annual Report for Council’s approval.
  • Coordinate logistics and preparations for MTFA’s annual AGM or EOGM.
  • Update ACRA on changes in MTFA’s membership and directors.
  • Perform any other duties assigned by the Management Council and/or ED.
