QUALIFICATIONS:

The incumbent must possess the following qualifications:

  • Knowledge of operational and administrative management and leadership concepts and practices, including program/service delivery models, policy development, planning, budgeting, and performance measurement, preferably with knowledge specific to a post-secondary institution
  • Knowledge of relevant governing legislation including health and safety, collective agreements, and policies and procedures
  • Knowledge of academic unit and departmental operations, policies, and processes
  • Knowledge of office productivity software and databases, internet browsers and search engines, discipline-specific software, enterprise software, and technology devices
  • Knowledge of university’s strategic priorities and goals, as well as policies and procedures
  • Knowledge of supervisory practices and performance measurement management
  • Knowledge of cultural competency and diversity in a business context

EDUCATION AND EXPERIENCE:

The above is normally acquired through the completion of:

  • Bachelor’s degree
  • Certified Human Resources Professional or Certificate in Recruitment and Selection (desirable)
  • Minimum of four years of administrative and operations experience in a complex organization in roles of increasing responsibility and complexity
  • Minimum of three years in a managerial and leadership role

Responsibilities:

Responsible for providing leadership, direction, planning, development, execution, and evaluation of the administrative and operational functions of the Faculty of Arts and Social Sciences including leading, coordinating, and advising on major initiatives therein.
This role, like the Faculty of Arts and Social Sciences itself, is broad in scope and influence and the incumbent is a partner with the Dean in ensuring the successful administration and operation of the Faculty. As a key advisor, the Manager, Faculty Operations leverages their background in administration and human resource management to provide expert advice to the Dean on a wide range of matters within the Dean’s portfolio that includes16 academic units, in addition to the Carleton University Art Gallery (CUAG), and the ancillary unit of the Carleton Dominion Chalmers Centre (CDCC). The Manager, Faculty Operations has deep knowledge of the administrative processes involved in academic program administration, office and human resource management, space and facility management, events and communications, information technology support, recruitment and retention, as well as financial administration.
The Manager, Faculty Operations, has access to highly confidential materials that pass through the Office of the Dean of FASS and acts with the highest level of professionalism and discretion as a key delegate in administrative matters. The incumbent works closely with administrative and academic leaders across the Faculty and the university to ensure the professional functioning of the Faculty’s administrative processes through the design, development and implementation of new procedures and protocols. They manage select administrative teams within the Office of the Dean of FASS, ensuring the day-to-day operations are completed to the highest professional standard, work with a continuous improvement mindset to monitor, identify opportunities and make recommendations for operational efficiencies. The Manager, Faculty Operations also provides guidance on all matters related to the human resource management and staffing of unionized and non-unionized positions to leaders across the breadth of the Faculty, including academic managers and Directors in CUAG and the CDCC. The position is responsible for providing support to the Dean and the Faculty on health and safety matters and initiatives internal to the Faculty as well as cross-Faculty initiatives.
