Job Summary:
The Manufacturing Assistant/Processor will be essential in supporting the Senior Vice President of Manufacturing Operations by handling administrative tasks and ensuring the efficient execution of daily operations. This role demands a highly organized, detail-oriented individual capable of managing multiple tasks effectively while maintaining professionalism and confidentiality.
EXPERIENCE AND REQUIREMENTS:
- High school diploma or equivalent required; an Associate’s or Bachelor’s degree in Business Administration or a related field is preferred.
- Minimum of 2-3 years of experience in an administrative or support role, preferably in a manufacturing or production environment.
- Minimum of 1-3 years of management experience preferred.
- Strong organizational skills and attention to detail.
- Excellent verbal and written communication skills.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to multitask and prioritize tasks effectively.
- Strong problem-solving skills and the ability to work independently.
- Familiarity with manufacturing processes and terminology is a plus.
Responsibilities:
- Provide comprehensive administrative support to the SVP of Manufacturing Operations.
- Schedule and coordinate meetings, appointments, and travel arrangements.
- Maintain and update the applicant tracking system (ATS) with candidate information and status updates.
- Prepare, organize, and maintain documents, reports, and presentations.
- Manage incoming and outgoing communications, including emails, phone calls, and correspondence.
- Collect, compile, and analyze data related to manufacturing operations.
- Maintain accurate records and databases, ensuring all information is up-to-date and easily accessible.
- Assist in preparing reports, charts, and graphs to support decision-making processes.
- Serve as a liaison between departments, teams, and external stakeholders to enhance communication and collaboration.
- Assist in preparing and disseminating internal communications, such as memos, notices, and newsletters.
- Organize and coordinate special events, conferences, and company meetings as required.
- Maintain organized filing systems for both physical and digital documents, ensuring easy retrieval and confidentiality.
- Assist in drafting, editing, and proofreading documents, reports, and presentations.
- Ensure compliance with company policies regarding document control and information security.
- Support the SVP in project management tasks, including scheduling, resource allocation, and progress tracking.
- Assist with the preparation of project plans, timelines, and budgets.
- Monitor project progress and report any issues or delays to the SVP.
- Order and maintain office supplies, ensuring adequate inventory levels.
- Coordinate with IT and other service providers to keep office equipment operational.
- Handle general administrative duties such as filing, photocopying, and mail distribution.
