JOB SUMMARY
The Administrative Marketing Assistant works as part of a team that supports the firm’s commercial real estate brokers with their daily administrative needs, graphics work, property marketing, maps and aerial imagery, and neighborhood research. The Administrative Marketing Assistant supports all divisions as receptionist for the office and is the first impression of the company, so should set a professional tone at the front desk reception area both on the phone and in person.

EDUCATION/CERTIFICATION
- High School Degree or equivalent required bachelor’s degree preferred
REQUIRED KNOWLEDGE
- Strong MS Office skills (Word, Outlook, PowerPoint, Excel)
EXPERIENCE REQUIRED:
- 1+ year(s) related experience
- 1+ year(s) experience with Adobe Creative Suite programs (especially InDesign, Photoshop, Illustrator and Acrobat)
Responsibilities:
ESSENTIAL FUNCTIONS
- Work well and maintain good relationships with coworkers in a close-knit team environment to support a fast-paced, high-profile sales force
- Provide high level customer service and an overall can do, service-oriented attitude
- Route calls and greet visitors, receive and distribute mail and deliveries; prepare outgoing mail including overnight and courier packages Use InDesign templates to produce and assemble marketing presentations, proposals, flyer, e-mail flyers, newsletters, postcards, etc. Use Photoshop and Illustrator to edit and enhance property photographs, floor plans, and other images
- Use various mapping and demographic software applications to run reports and create customer maps, aerials, and presentations
- Prepare informational packages and maps for property tours
- Provide administrative support for legal documents, proposals, invoices, executive summaries, and other long and short documents
- Compose and/or transcribe various correspondence, some of which may be highly confidential
- Maintain a clean and professional front desk area, keeping equipment and supplies neat and orderly
- Ensure that common areas (kitchen, break rooms, conference rooms and lobby) are clean, orderly, and well stocked throughout the day.
- Operate and troubleshoot office equipment like fax machine, postage meter, etc.
- Perform research, special projects, record keeping, and other miscellaneous duties as needed for the office
SUPERVISORY RESPONSIBILITIES
- Direct supervisory responsibilities for 1 Administrative Assistant and up to 5 Marketing Assistants.
