EDUCATION/EXPERIENCE
Bachelor’s degree (B.A.) from four-year college or university; or two to four years related experience and/or training; or equivalent combination of education and experience.
COMPUTER SKILLS
Proficiency in Microsoft Office Suite - Word, Excel, PowerPoint, and Outlook.
Responsibilities:
WHAT YOU’LL DO
Collaborates with Director of Marketing, Director of Sales, and cross-functional teams to drive corporate goals, marketing, and sales for the Arcadia family of companies. Supports all efforts towards the Company’s commitment to positively impact census and revenues.
RESPONSIBILITIES
- Customer records management system – REPS
- Serves as the company liaison in managing the on-going implementation and monitoring of a customer records management system for the Arcadia family of companies.
- Develops and maintains a relationship with the Matrix Care Marketing System personnel.
- Coordinates with software personnel to implement system-wide changes in records organization or coding.
- Performs system administrator duties such as:
- customizing the system according to company needs
- updating system codes and drop-down menus
- adding custom entry fields
- modifying user roles or rights
- deleting duplicate records
- resetting passwords
- Assists sales with the following:
- entering new prospects into the database
- updating and adding new activities
- updating and maintaining waitlists
- running reports for Sales Directors and Marketing Director
- Marketing
- Hosts tours for professionals and community members.
- Drafts articles for the employee newsletter and gathers newsworthy stories from other departments and the family of companies.
- Compiles website updates and coordinate with advertising agency to effect timely changes.
- Creates banners and newsworthy stories and uploads to Sharepoint.
- Creates flyers and newsworthy events and uploads to Facebook.
- Monitors and updates the Company website, Facebook, Instagram, Yelp and other social media.
- Sales Support
- Conducts tours of the community with sales prospects.
- Identifies and takes appropriate action when asked for information; responds to inquiries independently when possible.
- Screens non-sales-related calls and routes to the appropriate department or individual.
- Collects information from contacts and prospects and routes to the Director of Sales or appropriate contact.
- Forwards web and walk-in requests to the Director of Sales or appropriate contact.
- Sends brochures upon request.
- Replenishes supplies of applications and signing documents as needed.
- Move-in Support for New Residents
- Updates and distributes Occupancy Map.
- Updates and distributes Sleep List.
- Reserves elevators.
- Performs initial Vision input (healthcare customer-record management software.
- Issues IT Help Desk requests and in-house facilities work orders.
- Sends preliminary signing documents to future residents.
- Prepares signing documents.
- Creates invoice statement and obtains approval from Controller.
- Creates the Residence Agreement.
- Prepares New Resident Binders in close collaboration with Resident Services Manager.
- Creates, distributes, and posts new resident flyers in the community.
- Secures resident documents in resident folders.
- Monitors social media, publications, and community events for the Arcadia family of companies.
Work Schedule: Monday - Friday, 8:30am to 4:30pm
