Description:

Our client, a large General Practice in Meath requires two Administrators to join their Admin team.
35hrs weekly with potential to move to p/time hours.
Reporting to Practice Manager

ESSENTIAL REQUIREMENTS

  • Working knowledge of Windows-based software systems (e.g. Word and Excel)
  • Strong computer literacy
  • Excellent communication skills, written and verbal

DESIRABLE REQUIREMENTS

  • Previous experience in a busy medical reception or similar administrative position
  • An understanding of the GMS system
  • An understanding of medical terminology, medical and health professional organisations and relevant stakeholders

Responsibilities:

  • Support the clinical and management team by screening incoming telephone calls; recording and transmitting messages; scheduling, receiving, and announcing scheduled patients and visitors; screening unscheduled patients and visitors.
  • Adhere to agreed policy, procedure and protocol of the practice
  • Provide new and existing patients with documentation that must be completed.
  • File patient forms/scanning them to our system.
  • Maintaining filing systems.
  • Arranging referrals to other health care providers.
  • Produce information by transcribing dictation, preparing medical reports and summaries, patient histories, operative notes, manuscripts and correspondence.
  • Screening and sorting mail, email and documents as required.
  • Dealing with and following up on any patient concerns.
  • Processing payments – reconciliations daily
  • Generate revenue by completing direct patient and third-party billing, monitoring accounts receivables; initiating collection calls and reminders.
  • Secure information by completing database back-ups.
  • Maintain office supplies inventory by checking stock, anticipating needs, placing and expediting orders, verifying receipt.
  • Co-ordinate tests, treatments and other necessary care with appropriate facilities and professionals.
  • Work with insurance companies to process claims.
  • Administration of our CDM processes when needed
  • Ensuring all office equipment is maintained and working.
  • Provide education to new and existing colleagues by training on the job when required.
  • Chaperoning: independently observe the examination/procedure undertaken by the doctor/health professional to assist the appropriate doctor-patient relationship
  • Any other duties as requested by the management team.
