As a Medical Booking Expeditor, you will be expected to assist Claimant & Health Care Services by booking medical appointments for workers, which may include scheduling special tests and community-based appointments. This position also requires arranging transportation and allowances for workers attending appointments at Edmonton or Calgary offices.
Your Medical Booking Expeditor responsibilities:
- Book all appropriate referrals for exam and test bookings.
- Confer with Clinical Consultants if any pertinent booking information or test requisition is missing and ensure same is available for the service requested.
- Coordinate assignment of workers to appropriate assessment and/or service. Special needs must be considered and accommodated (i.e. security, interpreter services, etc.).
- Negotiate a convenient appointment date with workers and follow up by providing client with written confirmation ensuring correct appointment information is relayed. Inputting all information into the booking system so that appropriate Medical Information Packages (MIPs), x-rays, physicians scheduled, exam invoicing, and statistics can be obtained.
- Arrange travel directly with airlines, bus, and taxi companies (i.e. WestJet, Air Canada, Greyhound, etc.) and book hotel accommodations. Issue appropriate funds for travel (i.e. mileage and meals) and reconcile MasterCard charges for travel.
- Contact workers and reschedule appointments in a timely manner when physician/service providers have had to cancel their appointments, updating all relevant parties as to the change and reason for the change.
- Communicate effectively with leadership with respect to physician schedules and available claims for booking, ensuring appointments and examiner availability are optimized.
Your experience and skills:
- High School Diploma is required. Post-secondary education in a business or healthcare field or equivalent work experience is considered an asset.
- A minimum of 3 - 5 years’ experience in a medical office setting would be an asset.
- Good understanding of medical terminology and tests being performed.
- Ability to establish priorities and work independently, effectively and efficiently and the ability to perform well within a team.
- Ability to handle and manage a high volume and demanding workload.
- Well-developed organizational skills are required to set goals, identify processes/procedures, and meet the Medical Services turnaround times.
- Excellent communication skills: verbal, written, listening, consulting, and negotiating are required to perform required duties.
- Must demonstrate self-motivation, a strong client service commitment, creativity, attention to detail, and decision-making abilities.
- Must be able to cultivate and maintain good working relationships with other departments within the WCB, outsider service providers, and physicians.
- Proficient user of eCO, CIS, Whitespace, and web-based on-line service such as airline and bus websites is required.

Salary: $56,552 to $62,802 per annum (Pay Grade 7)
This position is temporary for a period of up to one year with the possibility of extension or permanency. Final candidates for this position are required to undergo a security clearance as a condition of employment. Successful candidate must reside in Alberta and be able to work in person in our Edmonton downtown or Calgary office as required by their position.
