Key Job Responsibilities:

  • Administrative and Reception Duties: Manage client appointments and calls, handle billing and payments, prepare client charts, assist with documentation, and provide front desk support during coverage gaps.
  • Client Interaction and Communication: Deliver excellent customer service, engage in regular communication with patients, clinicians, and administrative staff, and update patient progress and treatment outcomes.
  • Clinic Maintenance and Cleaning: Ensure the clinic is clean and sanitized, regularly cleaning all areas including treatment rooms, waiting areas, and common spaces to maintain a hygienic and welcoming environment.
  • Room and Equipment Preparation: Set up and prepare physiotherapy rooms and equipment for daily use, ensuring readiness for patient sessions, including proper sanitization after each treatment.
  • Physiotherapy Support and Coordination: Assist with the seamless integration of physiotherapy services by helping to implement treatment plans, coordinating patient schedules, and ensuring necessary equipment and resources are available for each session. Provide support with patient preparation and follow-up to ensure effective treatment outcomes.
  • Patient Follow-up and Engagement: Conduct follow-up calls, confirmation calls, and reactivation efforts, and promote clinic services and products to encourage patient engagement and return visits.
  • Documentation and Record-Keeping: Utilize SOAP notes to document client progress, assist physiotherapists with record-keeping, and ensure accurate and up-to-date client records.
  • Customer Experience Enhancement: Create a positive patient experience by conducting satisfaction surveys, assisting with cross-referrals, and obtaining Google Reviews to enhance clinic reputation.
  • Clinic Tidiness and Supply Management: Keep the clinic tidy and organized, regularly disinfect high-touch surfaces, properly dispose of waste, and monitor and replenish cleaning supplies to maintain consistent cleaning standards.
