JOB OVERVIEW

We are seeking a dedicated and organized Medical Office Assistant to join our team. This role is vital in ensuring the smooth operation of our clinic, providing essential support to both patients and healthcare professionals. The ideal candidate will possess strong administrative skills, excellent phone etiquette, and a commitment to delivering high-quality patient care.

SKILLS

  • Must have experience working at Physiotherapy clinic or at private health care settings
  • Having experience using Jane clinical management software is an asset
  • Having experience billing private insurances/WCB/motor vehicle collision insurances is an asset
  • Strong organizational skills with the ability to prioritize tasks effectively.
  • Experience in clerical duties such as filing, data entry, record keeping and cleaning duties.
  • Familiarity with human resources processes is a plus.
  • Excellent communication skills, both verbal and written, to interact effectively with patients and staff.
  • Ability to work collaboratively in a fast-paced environment while maintaining attention to detail.

    Responsibilities:

    • Manage front desk operations, including greeting patients and answering inquiries.
    • Handle phone systems efficiently, ensuring clear communication and professionalism in all interactions.
    • Schedule appointments and maintain the calendar for healthcare providers.
    • Perform clerical tasks such as filing patient records, data entry, and maintaining organized documentation.
    • Assist with vendor management and coordinate with suppliers as needed.
    • Support human resources functions by maintaining employee records and assisting with onboarding processes.
    • Utilize Jane clinical management software for client booking and patient account management
    • Ensure compliance with health regulations and maintain patient confidentiality at all times.
    • Cleaning duties as per schedule. Make list for cleaning supplies/office stationeries /other clinical supplies ;Check mailbox daily
    • Following up with MVA claims approvals and billings. Following up with WCB claims approvals and billing
    • Other office/admin duties as and then required to be performed by the management
