POSITION OVERVIEW

The Medical Office Assistant position is critical to the effective functioning of the Family Health Team. They provide patients with appropriate and timely appointments with their doctors or inter-disciplinary health professionals. They ensure efficient and professional running of the office on a daily basis. This position requires excellent administrative skills and an ability to work in a fast paced environment that presents different patient needs on a daily basis.

QUALIFICATIONS AND REQUIREMENTS

Education and Experience:

  • Medical office assistant Diploma or equivalent experience
  • Prior working experience in a medical office would be considered an asset

Skills and Knowledge:

  • Computer competency – Windows, all Microsoft Office programs, e-mail and internet search
  • Knowledge of Electronic Medical Records (EMR) systems, preferably Accuro
  • Excellent written, verbal and electronic communication skills
  • Excellent organizational, time & office management, problem solving and interpersonal skills
  • Well-developed customer service skills with the demonstrated ability to work collaboratively within the team
  • Capability to work with minimal supervision
  • High degree of accuracy and attention to detail when entering into the EMR system and internal communications
  • Exercise good judgment and confidentiality of all patient information

Responsibilities:

Front Desk:

  • Screen and checking in patients
  • Patient check in procedure includes ensuring all demographics, health card, pharmacy, etc. are up to date
  • Patient scheduling/rescheduling via phone call or at the completion of a visit
  • Physician rescheduling due to vacation, illness, meetings, urgent care, etc.
  • Collect any outstanding payments owing
  • Process payments for immunizations, INR’s and uninsured services
  • Administrative duties include supporting assigned Physicians/IHP’s regarding messages, prescriptions, forms, medical records, etc.
  • Retrieval, sorting & distribution of faxes, mail and work from Physician/IHP’s action box
  • Oversee overall flow of office

Runner:

  • Prepare charts for CPX, paps and collect height, weight and blood pressure
  • Take patients to examination rooms
  • Ensure examination rooms are cleaned and stocked appropriately every day
  • Collect, test and prepare swabs and/or urines for lab processing
  • Schedule/reschedule patient appointments

Call Centre:

  • Schedule/cancel/reschedule patient appointments
  • Relay messages to physicians/IHP’s regarding questions, results, referrals, etc.
  • Transfer calls to the appropriate individual
  • Monitor the cancellation line
  • Daily inputting and testing of the pager for on-call physicians
