Job Title: Medical Receptionist
Department: Riverview and Brandon Family Practice
Our Family Practice in Brandon is seeking a full-time Medical Receptionist. Responsibilities include all front office functions including patient relations, appointment scheduling, telephone duties, patient registration, insurance verification, handling medical records, filing, distribution of correspondence, cashiering, and computer work. 1 Year minimum experience required

Responsibilities:

ESSENTIAL FUNCTIONS OF THE POSITION– DUTIES INCLUDE BUT ARE NOT LIMITED TO:

  • Assists traffic on phones and addressing Incoming Correspondence
    o Schedule new and follow up appointments, utilizing Guide for Handling/Routing Calls
    o Take pertinent and precise clinical messages
    o Contact all abandoned calls and retrieves/answers voicemails throughout day
    o Initiate contact on WEB Request within 24 hours
    o Retrieve messages or images from Facsimile/Secure/Direct messaging and distributes to proper staff/Provider
    o Directs calls to the proper staff/Provider

    o Logs phones on and off service at appropriate times (ShoreTel User)

  • Completes patient check in processes

    o Confirms photo ID is scanned into Intergy
    o Confirms insurance cards are scanned into Intergy and keyed correctly
    o Verifies the PCP and COPAY field with every encounter
    o Updates work flow event tracker as needed and/or notifies MA/Nurse when patient is ready
    o Records “No Show”, “Cancel” or “Rescheduled” appointments in the system, maintaining a clean Patient Flow Tracking

    o Verifying all demographics are updated including PHREESIA triangles for manual entry

  • Collects and processes payments

    o Collects co-payment and balance due amounts
    o Notates PHREESIA Dashboard accordingly and removes old Notes
    o Balances journal, secure deposit and imprest funds
    o Ability to explain patient balance and provide a demand statement
    o Create a journal for next day

    o Work Unapplied Credit report daily

  • Prepares referrals and obtains authorizations

    o Obtains approval from the provider for requested authorizations
    o Forwards clinical data to the treating provider and/or facility
    o Notifies specialist office and patient of denied requests for authorization
    o Uses approved web tools to obtain authorizations
    o Handles and returns referral related calls
    o Enters referral authorization information into Practice Management System
    o Notifies providers and staff of changes in the referral process or insurance requirements

    o Maintains appropriate logs required by Managed Care Carriers

  • Processes charges

    o Pulls charges from pending status and reviews for accuracy
    o Creates ailments if an appropriate ailments doesn’t already exist
    o Ensures modifiers are in place as appropriate
    o Ensures the referral is attached to the visit via ailment or appointment
    o Attaches the appropriate insurances to each charge

    o Posts charges within 48 hours of completion by Provider

  • Scans all medical record documentation into EHR utilizing company approved cataloguing system

    o Scans incoming medical records, daily work, and paper charts into EHR

    o Create an imaging task as needed when importing from right fax

  • Completes End of Day Processes

    o Empties HIPAA container into destruction bin
    o Complete End-of-Day Checklist duties
    o Logs off Intergy, other outside accesses and out of computer before leaving

KEYS TO SUCCESS IN THIS ROLE:

  • Able to process charges
  • Medical Billing experience
  • Prepare e-charts prior to appointment
  • Assist traffic at the front window
  • Collect and process monies due
  • Address tasks in a timely manner
  • Process medical record releases
  • Assist traffic on the phones
  • Assist providers and patients at the conclusion of the visit

ADDITIONAL RESPONSIBILITIES:

  • Maintains an organized and clean work area
  • Monitor Lobby for cleanliness and patient distress
  • Participates in maintenance of front office supplies
  • Performs other incidental and related duties as required, assigned by Team Lead, Supervisor, Physicians or Associate Director
