Description:

With 100+ locations and over 400 OB/GYNs and specialists across the country, Womens Care provides comprehensive patient care in obstetrics, gynecology, gynecologic oncology, urogynecology, gynecologic pathology, breast surgery, genetic counseling, maternal fetal medicine, laboratory services, and fertility.
The Medical Records Assistant Clerk manages medical records by creating and gathering appropriate record folders and contents, assigning and recording new record numbers, verifying existing record numbers, delivering records, and providing staff support.
- Generates, prepares and assembles medical records.
- Organizes and evaluates medical records for completeness and accuracy.
- Logs, documents and maintains records in an Excel spreadsheet.
- Routes patients records to physicians, nurses, front desk and business office as needed.
- Manages the filing of all patient content in charts.
- Pulls charts as needed for special audits and peer review.
- Prepares reports and forms as directed and in accordance with established policies.
- Maintains and searches computerized medical records.
- Prepares copies of records when presented with properly completed medical release forms.
- Logs in/out X-rays and returns all X-ray films to appropriate vendors as needed.
- Consults supervisor, team members and appropriate resources to solve health information questions.
- Receives incoming correspondence, date stamp, and reviews/forwards to appropriate department or staff.
- Receives, screens, and coordinates telephone calls from patients and healthcare providers.
- Coordinates file retrieval with storage vendor and purges charts on an annual basis and log into record system.
- Communicates with medical staff, health care team members, and patient departments.
- Performs a variety of administrative duties including but not limited to: answering phones, taking and distributing messages, management of outgoing FedEx packages, faxing and filing of confidential documents, and basic internet and email utilization.
- Provides excellent customer service to all internal and external customers.
- Supports clinical staff by making daily rounds collecting records and documents for filing, ensuring charts are available as needed.
- Demonstrates and embodies the Womens Care mission and core values.
- Compliance with all HIPAA rules, regulations, and guidelines.
- Other duties as assigned.
QUALIFICATIONS:
- HS Diploma or equivalent. Associate degree and/or certificate program preferred.
- At least one year of medical records management experience.
- Knowledge of chart control, access and storage in accordance with established policies and regulations.
- Knowledge of medical records regulations and release of health information.
- Must have strong time management and organization skills.
- Excellent attention to detail, focus, and thoroughness.
- Strong communication skills, both verbally and written.
- Must be dependable, reliable, and punctual.
