With exciting internal growth happening in GenesisCare, we are pleased to now be recruiting for a Medical Secretary based in our Oncology clinic in Frenchs Forest, NSW.
This position will work directly alongside our Doctors and Cancer Nurse Coordinators, playing an integral role in direct patient communication, and coordination of appointments and treatments to ensure optimal outcomes for cancer patients undergoing medical oncology. This role is a crucial link between external referrers, patients and GenesisCare clinical staff.
We currently have a permanent full-time opportunity available, working 38hours/week.
More specifically, you will:
- Ensure a high level of patient service is provided including meeting patient needs, maintaining patient service levels and monitoring and reacting to patient feedback.
- Remain highly organised to work efficiently in a fast-paced environment where patient focus remains the top priority.
- Demonstrate high interpersonal skills to build professional relationships with external doctors and clinicians, ensuring excellent patient service both face to face and over the phone.
- Anticipate patient appointment needs and work closely with Consultants and Cancer Nurse Consultants to ensure patient appointment times are scheduled within appropriate timeframes.
- Register new patients and manage all incoming referrals relevant to the team/doctors.
- Triage referral with Cancer Nurse Consultants to understand time frames for appointments.
- Schedule doctor consult appointments - Undertake all clinic preparation and actions to ensure efficient and well-organised clinics including ensuring the completeness of patient electronic medical records prior to and subsequent to the visit.
- Ensure clinic billing is complete and reports are complete as required.
- Manage Consultant diaries effectively to align clinics and schedules.
- Work co-operatively and effectively within our multidisciplinary teams, accurate and clear exchanges of information and assist other team members to achieve team objectives and work outcomes.

- Demonstrate exceptional and in-depth medical administration experience and medical terminology with previous experience working in busy medical clinics.
- Have high level communication skills, providing excellent patient care and communication.
- Show strong organisation and communication skills.
- Are self-driven and have the ability to work successfully, independently and in a fast-paced team environment.
- Demonstrate exceptional phone manner and ability to handle a high volume of patient tasks and enquiries.
- Have high attention to detail and excellent organisational skills to enable resolution of urgent matters and time critical medical appointments.
- Are proficient in clinical administration systems, as well as Microsoft Office software.
- Have a collaborative approach in working with the wider administration team and both internal and external customers, in line with Genesis Values.
- Have experience working with cancer patients (desired).
- Are flexible to travel to sites and leadership meetings as required.
