Roborough Surgery Job Description Medical Secretary JOB TITLE: MEDICAL SECRETARY RESPONSIBLE TO: Practice Manager RESPONSIBLE FOR: All secretarial duties within the Practice JOB PURPOSE: To manage surgery referral letters using the in-house computer system and eReferral/DRSS system, process associated administration workload. To provide an effective and polite service for both patients and colleagues. Communicate any relevant information between doctors, patients, and colleagues. Main Duties and responsibilities: Typing of clinical team referrals, complete forms, letters, and information as given in a timely manner.
Use of dictation software to produce audio typewritten work. DRSS worklist management rejected referrals, queries etc. General administration duties and tasks including use of Office 365 and other software Liaison with Hospitals/Patients/GPs/Practice staff/Other agencies Managing incoming telephone calls and redirect, document, or deal with accordingly, along with answer machine messages daily. Manage internal messages and personal NHS email daily and deal with accordingly.
Manage the shared email accounts (Admin/Reports) and action as appropriate. Process Secretarial tasks received through Practice clinical system task screen. Processing and managing non-NHS workload (insurance reports, SARS requests, miscellaneous letters) following practice protocol. Action and process requests for Online Access to Medical Records plus associated medical records and online access workload to support the Practice Manager and Online Services Team.
Liaise with the Practice Manager and other colleagues to support the whole Practice Team Respect confidential information received ensuring General Data Protection Regulations are always followed. Deal with all tasks and duties in a timely manner You may be requested to carry out any other reasonable duties within the scope of your job role. Use NHS Smartcard as required and as part of the job role. Other: When required and in emergency situations, provide Reception cover to support the Reception Team and as guided by the Reception Manager.
Respond to the needs of the Practice team and patients during surgery opening hours. If required, provide Reception cover during Enhanced Access clinics during weekday evenings and Saturdays
