POSITION SUMMARY:

The Medical Services Program Assistant and Client Transportation Coordinator plays a vital role in supporting the Medical Services Program by fulfilling client needs and ensuring smooth operations. Responsibilities include assisting clients, scheduling appointments, answering calls, providing administrative support, and coordinating logistics for meetings and communications. This position ensures efficient processes across the North Central Washington Division, managing documentation and community partner integration. Additionally, this position involves coordinating sage and punctual client transportation, requiring strong communication skills, safety focus, and a commitment to client satisfaction.

PHYSICAL REQUIREMENTS:

This position normally requires that physical demands of standing, walking, bending, lifting or performing other work requiring low physical exertion, talking and hearing on a regular basis to perform the job requirements. These physical demands are required up to 80% of the time. Position also requires ability to drive with adequate vision and skill.

EDUCATION

  • Bachelor’s or Associate Degree, preferred.
  • High School Diploma or equivalent, required

EXPERIENCE

  • 2 years of related experience in the behavioral health field preferred

  • Bilingual (English/Spanish) preferred, but not required

Responsibilities:

PRIMARY RESPONSIBILITIES

  • Process requests for psychiatric service following the established workflow
  • Assure that client walk-ins and phone calls from persons requesting psychiatric services are promptly returned
  • Screen for urgency and appropriateness of services, make referrals when other services are more appropriate
  • Assign cases for intake-assessment to registered nurse
  • Register clients and maintain client information in the MIS
  • Verify eligibility and benefits for all insurance clients
  • Maintain and update all referral lists
  • Work with support, accounting, billing, and clinical staff to ensure continuity of client services
  • Coordinate with Records and Registration staff to ensure access and review standards are being met accounting to the contract requirement
  • Maintain records and outcomes data per the agency policy
  • Maintain positive working relationships with referral sources and community entities
  • Assist with the preparation for audits and administrative reviews, as requested
  • Scan client records and documentation according to Agency protocol and HIPAA
  • Complete functions related to clinical records and information systems, as directed by supervisor
  • Scheduling and rescheduling client appointment with Medical Services and for partnered Hope Healthcare Clinic
  • Coordination with Crisis and Hospital Liaison for scheduling of LRA clients appointments prior to hospital discharges
  • Research community patient records, when available, of pertinent medical and psychiatric history from current and previous medical providers and distribute this information to the appropriate psychiatric provider
  • Review and clear alerts to ensure timely processing of billing
  • Coordinate interpreting services and second staffing needs for Medical Services staff
  • Facilitating patient surveys relating to patient care and provider ratings
  • Review and alert staff of issues in the Daily Services history report and follow up as needed to ensure corrections completed
  • Check provider and nurse schedules confirming assigned clinician for the provider or nurse for staffing
  • Coordinate and educate staff on accessing partnered agencies EHR
  • Establishes and maintains files for Medical Services which may include contracts, policies, guidelines, quality improvement efforts and program specific information
  • Works independently and within teams on quality improvement measures for Medical Services across the division
