Medicines for Malaria Venture (MMV) is a leading product development partnership (PDP) in the field of antimalarial drug research and development. Its mission is to reduce the burden of malaria in disease-endemic countries by discovering, developing and delivering new, effective and affordable antimalarial drugs.
Over the past two decades, MMV has worked with an extensive network of donors, private and public sector partners, experts and clinical centers in endemic countries to develop an outstanding portfolio of antimalarial projects.
Our portfolio is financed through funding support coming from government agencies, private and corporate foundations, international organizations, corporations and private individuals.
We are currently seeking a Meeting and Events Manager at 50% working time who will report to the Associate Director, Events & Travel for the coordination, organisation and execution of conferences, events and meetings worldwide. The ideal candidate will have a high level of professionalism in handling both end-to-end event management, and in collaborating on certain areas of an event. This person will have extensive customer service skills and must thrive in a challenging, fast paced, and changing atmosphere where prioritizing and multi-tasking are the norm.
EDUCATION AND EXPERIENCE
- Degree in event management, hotel/catering management, tourism, marketing or communications is desirable
- At least 5 years of experience in managing meeting & event logistics
TECHNICAL SKILLS
- Excellent command of English (spoken and written) is essential; good command of French is an asset
- Proficiency in Microsoft Office, with strong excel skills

Responsibilities:
- Coordinate and facilitate all aspects of meeting planning pre, during, and post event: from site selection, vendor negotiation, master list creation, official invitation process, event registration, delegate management, supplier coordination (accommodation, meeting space, AV supplier, dinner venues, ground transportation, travel agent, and other services), onsite coordination, financial reconciliation, and post-event reporting
- Where applicable, set up and / or coordinate event registration websites
- Create, coordinate and send logistical communications to attendees and speakers
- Coordinate BEO information with event venues
- Coordinate travel, lodging and expenses for participants traveling to meetings, per MMV policy
- Create and manage event budgets, and reconcile internal billing after the event; coordinate billing, expense reimbursement, and supplier payments
- Handle all adhoc attendee queries
- Produce event materials, badges and signage
- Oversee meeting preparation, packing/shipping of event materials
- On occasion, travel to meetings & events; weekend and evening work
- Manage the Team intranet page
- Other duties as assigned by the Associate Director, Meetings, Events & Travel
