Summary
Work on-site and serve as the key point of contact for employees to consult with for assistance
planning their on-premises conference space and hospitality needs. The position is full-time, flexible hours
for supporting scheduled events. Serve as the key point of contact for all third-party service providers as well
as ensuring full access and functionality of the space and facilities.

Responsibilities:

  • Consistently identify, develop, and deploy process enhancements.
  • Assist requestors with planning their event respective to space capabilities and hospitality options.
  • Responsible for networking and introducing third party catering and equipment rental vendors.
  • Manage project-wide deliverables, day-to-day communications across stakeholders, and day of execution.
  • Responsible for making sure all third party vendors adhere to APTA’s contractual requirements.
  • Place catering orders, pay vendors, collect, and share receipts with key client contact for reimbursements.
  • For in-person events, oversee the logistics of vendor and space management and setup.
  • Assist with the setup and breakdown of event center/conference room space.
  • Perform light A/V support, assist guests with accessing virtual meeting platforms (Zoom, Air Media, etc.).
  • Facilitate the proper organization and cleanliness of event space.
  • Uphold any necessary safety precautions.
  • Provide high levels of customer service.
  • Perform security roles.
  • Provide relevant information to event attendees.
  • Responsible for managing, training, and directing the Conference Coordinator.
  • All other duties as assigned.

Required Qualifications:

  • High School diploma or GED
  • 3-5 years experience to the duties and responsibilities specified above.

Preferred Qualifications:

  • College Degree
  • Excellent customer service skills
  • Proficient in Microsoft Office 365 (Excel, Word, Outlook)
  • Attention to detail
  • Critical thinking abilities
  • Performs well under pressure
  • Written and oral Communication skills

Physical Requirements

  • Able to occasionally lift up to 50 lbs.
