Location: Abu Dhabi

Responsibilities:

ROLE PURPOSE:

  • Responsible for managing the day-to-day operations of any managed portfolio
  • To establish and manage all processes and functions relating to Property Management Operations, supporting the key business of the company.
  • To evaluate and implement improvements to the internal processes to achieve satisfaction of customers and to improve efficiency and control.
  • To support and guide the team of Property Operations to ensure team functions are performed in compliance to the standard operating procedures and to the expectation of MPM business channels.
  • Maintain and update the system with current and actual data.
  • Maintaining the Tenant and property information in the Oracle databases up to date.Key Accountabilities of the role
  • Responsible of managing assigned portfolio of all property management process and proceduResponsible of managing assigned portfolio of all property management process and procedures.
  • Support the automation initiatives within the company and implement improvements to the workflows to gain further efficiency and controls.
  • Working and following approved SOPs, ensuring compliance to established KPI’s.Manage Property Operations tasks of the routine assignments i.e., Issuance Renewal leases;
  • up with renewals, Termination of Leases, attending customers’ requests, providing info to the customers etc.
  • Monitor and manage Government leases renewals and payments
  • Attending to and solving issues relating to customers referred by Customer Service Officers in order to provide a satisfactory service to customers on an ongoing basis.
  • Communicate with the Management and provide recommendation to improve the processes and get effective tools, which will improve the customer service/satisfaction.
  • Ensure timely reporting of management information
  • Ensure regular daily transactions of customer service counters are completed and required supporting documents/approval are obtained.
  • Support the property Relationship Manager in managing the functions of the division and assist in special tasks as and when required by management.
  • Carry out portfolio site inspection according to the annual planner and submit the require report and save it in the agreed folder, adhere to SOP.
  • Send upcoming properties to the leasing team (as soon receiving non-renewal notice)
  • Tenant retention - convince tenant to renew the same unit with the new target rent.
  • Meet the tenants as requested \ required and solve their issues professionally.
  • Maintain department files and records electronically.
  • Escalate serious issue, potential risk or case can’t solve it based on SOPs to the line manager and senior management within 10 working days
  • The employee must cover MPM from any financial losses or damage to the company reputation.
  • The employee must do regular presentation about his\her portfolio to the line manager, senior management and as requested.
  • Close any issue, cases, task force and audit points within target date.
  • Maintain archiving system, ensure accurate and timely storage and file management.
  • Respond to inquiries and requests pertaining to the managed property.
  • Complete and submit reports, forms and other paperwork as required.
  • Ensure compliance with applicable laws, rules and regulations.
  • Perform other related duties as assigned.
  • Achieve the goals \ KPIs of the performance.

SPECIALIST SKILLS / TECHNICAL KNOWLEDGE REQUIRED FOR THIS ROLE:

  • Diploma certificate in business, technical or information technology discipline
  • Extensive knowledge of property management, Experience in Property Management applications, ability to handle special tasks
  • Real Estate Industry background and experience essential.
