Job Summary:
Under direct supervision, this position is responsible for routine project documentation, materials, job costing, status monitoring, invoicing, and administrative closeout of each project. This position is required to closely interact with customers, Project Managers, and other assigned project staff to ensure the timely completion of each project
Responsibilities:

General

  • Oversee projects to ensure contract compliance and successful completion
  • Initiate project invoicing process and coordinate format, layout, attachments, and mailing with Shared Financial Services.
  • Responsible for generating, interpret, and print various assigned reports.
  • Appropriate file management of documents & controlling departmental sign offs i.e. Impsells.
  • Variation requests +/- positive and negative to contract.
  • Invoicing Requests for Progress Claims, submission by 20th each month
  • Positive WIP Management (Reporting) and %complete *Monthly
  • Forecast Management, provide WIP report (Project In Progress) of all active Projects *Monthly
  • Regular analysis of UER/UBR Unearned Revenue & Unbilled revenue managing stock chiller jobs and allocations
  • Assist with Yearly Internal & External Audit with equipment related project samples

Equipment Administration

  • Manage 78# Register
  • File and archive all required documents
  • Undertake specific administrative tasks as required the R12 accounting system
  • Complete tasks required as the Oracle R12 super user within your project/rental/contracting role
  • Undertake other duties in accordance with your position and Trane policy’s in a timely and effective manner

Working Relationships (Internal/External)

  • Maintain effective working relationships with other members of the team, personnel in other departments and external parties as appropriate
  • Ensure supervisor/manager is kept informed of issues and suggest correct course of action to be taken
  • Attend and participate in regular team and toolbox meetings

Other Requirements

  • Contribute to continuous improvement activities within the department and processes
  • Liaise with customers/suppliers and coordinate resolution of issues or queries arising in a timely and effective manner
  • Undertake other duties in accordance with your position and Trane policy and procedure as directed by Supervisor/Manager
  • Promote and continuously apply personal safety, environmental and quality awareness in the workplace

Qualifications:

  • Certificate in Business Administration (desirable)
  • Financial background working with numbers and ERP systems (desirable)

Key Competencies:

  • Oracle Ras (desirable) or similar ERP systems
  • Microsoft packages
  • Demonstrated knowledge and experience within corporate administrative function or department
  • Be a self-motivated/independent person, taking focus and ownership of all team and personal goals
  • Maintain high standards of personal and team responsibility
  • Effective communication skills - both written and verbal
  • Effective interpersonal skills including ability to clarify and resolve customer service issues
  • Highly developed customer focus
  • High level of attention to detail
  • Excellent organizing and time management skills
  • IT competence - MS Office, Word, Excel and Powerpoint

Required license
