Description:

JOB SUMMARY:

The New Construction Admin Support Specialist will assist the General Manager of New Construction in all aspects of the construction process. This includes but is not limited to setting up the initial projects, procurement of materials for those projects, invoicing and final closeout documentation as required.

REQUIRED SKILLS/ABILITIES:

· Excellent organizational skills and attention to detail.
· Strong analytical and critical thinking skills.
· Proficient with Microsoft Office Suite or related software.

EDUCATION AND EXPERIENCE:

· Bachelor’s degree or Associate’s degree in related field preferred but not required.
· Notary Public or ability to obtain appointment.

PHYSICAL REQUIREMENTS:

· Prolonged periods of sitting at a desk and working on a computer.
· Must be able to lift 15 pounds at times.
· Must be able to access and navigate the organization’s facilities.
Job Type: Full-time
Pay: $25.00 - $28.00 per hour
Expected hours: 40 per week

Responsibilities:

· Create and enter work orders for each project
· Enter purchase orders, check order acknowledgements for accuracy, and coordinate with manufacturers on issues regarding shortages, damages, etc.
· Order processing
· Monthly labor reconciliation includes the input of labor costing in our system (Field Ops) for costing purposes.
· Invoicing utilizing AIA pay applications and/or direct invoice methods as may be required.
· Lien Waiver completion
· Place warehouse stock orders.
· Keep price books and factory discounts current in system.
· Compile closeout as required for projects including but not limited to warranties and operating and maintenance manuals.
