Responsibilities:
- Your role will be to Manage the effective running of the hotel during the night. This role involves reception, bar, basic food preparation, general cleaning and security duties. Additionally, you will provide our guests with a professional and helpful service, including check in/ check out of guests. You must have a natural ability to communicate to different types of people and the passion to ensure that all of guests enjoy their stay.
- To be fully familiar with your departmental SOPs and procedures and ensure that these are implemented consistently when on duty.
- To greet and welcome Guests in a warm and friendly manner, establishing a good rapport, using Guest’s names frequently throughout the conversation in order to ensure a truly personal guest experience is received.
- To answer the telephone (within 3 rings) in a warm and welcoming tone of voice, responding to queries in an interested and friendly manner. When you come on duty, receive a full handover from reception/management and give a full handover to reception/management when you go off duty.
- To be aware of the nights/week business in terms of room occupancy, meeting room set ups, special requirements, early departures/breakfasts, VIP needs and to liaise with other departments in relation to these so to ensure that needs are met.
- To carry out the Night Audit each night ensuring all night audit tasks are completed as per SOPs
- To ensure all bills are have the correct information relating to the guest / room.
- To ensure there is an open line of communication with the FOH Manager to ensure all emails are responded too and all issues are reported.
- To ensure that the Night Audit Report and Night Porters Checklist are completed in full - ensuring that all items are signed off when completed and checked.
- To be fully familiar with and be able to carry out all Night Porter duties yourself to the correct standard.
- To ensure that the security of the hotel is maintained overnight, carrying out regular floor walks, conducting regular fire, health, safety and security checks.
- To be particularly aware of the dangers of fire at night and ensure that you are fully familiar with how to:
- Use the fire panel, silence alarms and initiate alarms
- The fire evacuation procedures of the hotel
- Where the fire assembly points are
- What to do in the event of an emergency evacuation
- How to use all the fire equipment
- Where the emergency gas cut off and electrical cut off points are.
- To cover reception and concierge duties as and when required e.g. checking in/out guests, rooming guests etc.
- To ensure that any room charges are correctly posted to guest room accounts e.g. cigarettes, late drinks, room service orders etc.
- To be able to use all equipment in the bedrooms/conference rooms so to be in a positive to show guests how to use it and/or respond to any minor break-downs or guest questions.
- To check function sheets in order to identify any room set ups required e.g. conference rooms to be set or reset, special requests, early breakfast, bag pulls.
- To service and clean any conference room, public areas, buff the floor as requested and any duties as requested by manager on duty.
- To take responsibility for the residents bar when the bar staff finish duty.
- To correctly take messages for Guests/staff ensuring that the date, time, message to/from, message content and initials are noted.
- To prepare, cook and serve night room service requirements as needed.
- To deliver newspapers in the morning to each floor, in accordance with the SOP.
- To valet park and collect guest cars as and when requested.
- To polish any shoes left outside guest rooms for the morning.
- To report any maintenance issues or faults to the Early Duty Manager and include in handover report.
- To welcome new members to the team - help them settle in quickly and effectively by helping and guiding them in a positive manner.
- To carry out training with new team members, ensuring that they too adhere to the SOPs consistently, to guide, train and coach them as required.
- To assist management in ensuring that every member of the night team receives the required training to fulfil all legislative and company requirements and to develop the skills and capability required in their job - ensuring that training records are maintained.
