JOB SUMMARY
Our Public Health and Emergency Services department is looking to hire two Office Administration Students for our Family and Community Health, and Clinical Services divisions.
The students will be responsible for providing administrative support & services to the various divisional program areas as assigned.
EDUCATION
- Completion of high school diploma or equivalency (i.e. GED) is required
- Currently enrolled in the Office Administration Executive Co-op program to complete their 400 hours work term
KNOWLEDGE
- Knowledge of civil engineering concepts
- Knowledge/experience related to municipal infrastructure (ex. Water, wastewater, roads, etc.)
- Knowledge of planning theory and practice would be an asset
- Knowledge of or experience working with Access or other databases would be an asset
SKILLS
• Proficient written communication skills (email, minute taking, etc.)• Strong attention to detail
• Ability to work alone, as well as within a team.• Self-motivated with proven initiative
- Self-motivated, confident, and responsible
- Advanced proof-reading and grammar skills
- Ability to perform large-scale mail merges from start to finish.
- Attentive to detail and resourceful
- Knowledge of Microsoft OneNote would be an asset.
Responsibilities:
The student will work directly with the Public Health Administrative Team, by:
- Supporting all programs across the Family and Community Health and Clinical Services divisions.
- Providing administrative support to the programs including generating various reports, correspondence, meeting minutes, documents, presentations, newsletters, registration forms, client files, and other program materials for the program area.
- Answering telephones, taking messages, advising the public, community professionals and educators, agencies, ministries, and clients about services available and responding appropriately to all queries. Referring inquiries and client questions to staff with professional knowledge or to the manager.
- Booking and canceling appointments, in consultation with staff.
- Organizing, compiling, and maintaining all statistics, reports, and special statistical program/divisional information required by manager/research/ministries.
- Providing communication that involves the explanation, exchange and clarification of information requiring tact, discretion, and courtesy in dealing with sensitive health and confidential information.
- Receiving vaccine(s)/medication, checking invoice, inspecting, verifying, sorting and storing in appropriate location; Maintaining accurate records of vaccine, medication or condoms received and distributed; Performing a weekly fridge count and/or maintaining an inventory; Maintaining daily record of fridge temperature for the vaccines.
- Performing data entry in various data bases (iPHIS, Panorama, Electronic Medical Record (EMR))
