JOB DESCRIPTION:

Job Summary:
NAVBLUE, an Airbus Company, is currently seeking an Office Administrator to join our growing team. Reporting to the General Manager of the local office, this position is responsible for reception duties and office administrative support. Performs most office support duties; coordinates a range of services to assure efficient operation of the office.

Responsibilities:

  • Receives and refers visitors and telephone callers in line with internal security procedures
  • Provides professional customer service to all internal and external customers
  • Responds to routine requests for information and refers more complex requests to appropriate staff members
  • Opens and distributes mail. Handles shipping and receiving for the office
  • Assembles relevant data, and compiles information as directed
  • Has regular contact with suppliers, or company employees outside the immediate work area
  • Supports travel arrangements for the employees
  • Assures that office services such as coffee and tea, fruits, machine repair, building service and catered luncheons are provided as needed
  • Arranges local hotel and transportation service agreements
  • Maintains inventory of office supplies and orders office supplies, equipment, and services within prescribed procedures and contractual agreements
  • Maintains records of administrative expenses
  • Coordinates facilities needs such as office maintenance, furniture purchases, issuing of access badges, parking pass allocations and nameplates
  • Issues conference cards and monitors data; mobile device support including monthly invoice review, hardware changes, plan changes support & support queries
  • Manage meeting rooms bookings
  • Completes other special projects or assignments
  • Back up to Executive Admin Assistant when needed
  • Supports OHS activities, documentation reviews, cooperates closely with OHS service provider

Required Skills/Experience:

Education:

  • Completion of High School Diploma

Experience:

  • Minimum 5 years administrative/secretarial experience

Knowledge, Skills, Demonstrated Capabilities & Competencies:

  • Proven problem solving skills
  • Able to work under minimal supervision and exercise independence and discretion
  • Proactive, confident self-starter

Communication Skills):

  • Effective interpersonal skills; adaptable to all levels of the organization
  • Excellent communication skills (both written & verbal)
