JOB DESCRIPTION – Office Administrator
Virtual Centre: Letterkenny Office - working across all of APP’s Service regions
Reporting to: APP’s Management Team
Job Type: Fixed Term 12 month contract
Responsibilities:
Provide administrative support to APP’s management team and to liaise as required across all APP’s additional service locations and carry out duties as may be assigned from time to time by APP mgt. team.
Develop and maintain positive relationships and effective communication with APP management and staff, outside professionals and services, HSE professionals, community personnel and others either directly or indirectly involved within APP’s service delivery. This may involve attending meetings or representing the APP service.
Screen emails, telephone calls, and correspondence and take action as necessary,
Ensure follow up on all correspondence, address enquiries in a timely, effective and confidential manner.
Manage and maintain all documentation, files, correspondence and communications as well as the drafting of outgoing communications.
· Update all systems, methods and filing on a regular basis.
· Attend meetings, take, and prepare minutes as required.
Familiarise yourself with APP’s service provision and adhere with all policies and procedural documentation relevant to your position.
Undertake all training sessions as outlined by APP’s management team.
Understand that in the course of your work you will come into contact with or have access to confidential information in relation to APP’S service provision, service developments, staff information and financial structures and setup. Maintaining confidentiality is key to this role as misuse of any of this information, its disclosure to others and/or agencies who are not authorised to receive it would constitute a serious breach of confidentiality.
Work with APP’s Management team to promote best practice in the provision of the highest quality service and ensure standards are maintained throughout all our service regions.
Provide support in the development and implementation of all relevant service documentation, programme structures, standard operating procedures, policies, national standards and HSE Adult Day Services requirements.
Encourage development of self and others through appraisal and supervision processes.
Undertake other duties as deemed reasonable by APP’s management team appropriate to the post as assigned.
