JOB SUMMARY:
The Office Administrator is the heartbeat of our company, playing a dual role that not only ensures the smooth operation of our office and fulfilment warehouse but also spearheads our efforts to foster a vibrant and cohesive multinational team through social events. This role involves coordinating various administrative tasks, supporting the management team, and maintaining efficient office procedures. This role offers plenty of autonomy, making it ideal for someone who can work independently, prioritise effectively, and adapt quickly to evolving needs. The ideal candidate will be highly organised, exhibit a bubbly and outgoing personality, and possess excellent communication skills. They should be eager to build a great team, demonstrate a client-focused attitude, and have the ability to handle multiple priorities in a fast-paced startup environment.
Responsibilities:
- Support for Onsite Manager:
- Provide administrative support to the onsite manager and management team.
- Assist in coordinating fulfilment centre service scheduling in collaboration with the Operations Manager.
- Facilities Support:
- Serve as the point person for maintenance, mailing, shopping, supplies, equipment, and errands.
- Manage relationships with vendors, service providers, and landlords, ensuring all items are invoiced and paid on time.
- Manage contract and price negotiations with office vendors, service providers, and office lease agreements.
- Health and Safety:
- Ensure the office and fulfilment centre adhere to health and safety regulations.
- Partner with Human Resources to maintain office policies and onboarding activities as necessary.
- Process Support for Operations:
- Propose and implement efficient operational processes and systems.
- Identify continuous improvement initiatives and provide recommendations to management.
- Coordinate with the IT department on all office equipment.
- Maintain administrative files in a well-organised system.
- Administrative Duties:
- Manage office general and administrative (G&A) budget ensuring accurate and timely reporting.
- Organise and take charge of company social events to enhance team bonding and corporate culture.
- Provide general support to visitors.
- Assist the Chief of Staff with Client Solutions and client-related duties as needed.
- Perform other duties as assigned.
