SKILLS AND QUALIFICATIONS:

  • Strong proficiency in Microsoft Office Suite and XERO,
  • Prior experience in administrative or office-based roles is highly valued.
  • Excellent organizational and time-management skills.
  • Exceptional communication skills, both written and verbal.
  • A positive and approachable demeanour with the ability to work in a busy environment.
  • Flexibility that is required in a small size company in terms of changing needs and requirements. You may be asked to design/order uniforms and advertise for a painter at the same time.

Responsibilities:

ABOUT THE ROLE

We are seeking a reliable and detail-oriented Office Administrator to join our team. You will play a critical role in supporting our project managers/site supervisors and management, helping to keep our operations efficient and professional. This casual/part-time role is ideal for someone who enjoys a dynamic and rewarding work environment.

KEY RESPONSIBILITIES:

  • Perform day-to-day administrative tasks, including managing correspondence.
  • Manage and maintain employee onboarding documentation and process,
  • Manage bookkeeping tasks (XERO experience is essential), including scanning/entering receipts into XERO, following up on receivables,
  • Reconcile XERO bookkeeping regularly,
  • Manage and process employee inductions for various work sites,
  • Manage and organise employee training needs,
  • Maintain employment information such as training/competency records,
  • Assist with scheduling and calendar management for the team.
  • Ensure compliance documentation is up-to-date and accurate.
  • Manage payroll process; handle daily clock ins/outs and maintain good level of records for payroll processing,
  • Prepare regular documentation for progress claims such as gathering dayworks/sign-on sheets and variation requests,
  • Support compliance monitoring and regulatory reporting.
  • Manage regular updates on company social media accounts.
