Description:

JOB OVERVIEW

We are seeking a detail-oriented and organized Office Administrator to join our team. The ideal candidate will play a crucial role in managing the day-to-day operations of our office, ensuring efficient administrative processes while supporting the accounting functions.
The ideal candidate will expand the administrative role into bookkeeping and year-end support.

QUALIFICATIONS

  • Proven experience in an administrative role, preferably within an accounting or finance environment.
  • Ability to manage multiple tasks and interruptions without losing focus.
  • Excellent verbal and written communication skills.
  • Excellent organizational skills with a keen attention to detail.
  • Comfortable using a variety of computer software programs and quick to learn new processes (QBO, Sage 50, Tax Software)
  • Proficient in Microsoft Office Suite (Excel, Word, Outlook).
  • A proactive approach to problem-solving and process improvement.
  • Bookkeeping experience is an asset.
  • Familiarity with personal and business taxes is an asset.
  • Customer service driven.

Hours of work:

  • Non-tax season - Monday to Thursday, 8:00 - 4:00 (30 hrs/week)
  • Tax season - Monday to Friday, 8:00 - 4:00 with weekends and longer hours as needed

Job Types: Full-time, Permanent
Expected hours: 30 – 40 per week

Responsibilities:

  • Forward facing to clients, managing phones, data entry and document management.
  • Manage the flow of physical and electronic documents throughout the office.
  • Manage deadlines and communicate with clients to support team members.
  • Maintain client files and client database.
  • Bookkeeping as needed, including GST return preparation.
  • Communicate and liaise with CRA on behalf of clients and team members.
  • Year-end preparation support for accounting technicians.
  • Foster a positive team environment.
