Job Description:

POSITION OVERVIEW:

We are looking for an efficient office administrative officer to ensure the smooth operation of the company’s daily activities, allowing employees to perform at their best. You will supervise office tasks, such as handling correspondence, maintaining records, ensuring communication among team members, etc. Individuals with strong multitasking abilities and a spirit of collaboration will be ideal candidates.

THE QUALIFICATIONS FOR THIS POSITION ARE:

  • Experience in office management, assistance, administration, or related positions;
  • Excellent communication and interpersonal skills
  • Ability to establish and maintain internal and external business relationships;
  • Proficient in Microsoft Office software ( Excel, Word, Outlook, Explorer)
  • Familiarity with office management procedures and basic accounting principles
  • A bachelor’s degree in management or a related field is preferred;
  • Ability to independently and efficiently complete administrative tasks in a fast-paced environment
  • Caution and maturity when handling sensitive information
  • Energetic, self-motivated, with a high sense of responsibility and integrity.

Responsibilities:

  • Coordinating office activities and operations to ensure smooth administrative processes and compliance with company policies;
  • Managing files and fixed assets, ensuring proper filing, protection, and disposal of documents and assets;
  • Reception of visiting clients, employees, and suppliers; responsible for meeting preparations and catering, as well as travel arrangements;
  • Manage all incoming and outgoing office correspondence, including (emails, letters, packages, etc.);
  • Regularly provide management with office operation reports and suggest improvements;
  • Maintain good communication and coordination with all office suppliers, monitor office supplies inventory, and replenish in a timely manner;
  • Supervise office cleaning, repair, and maintenance work to maintain a safe and tidy working environment;
  • Assist in the planning and execution of internal activities, such as the annual conference and quarterly meetings;
  • Assist in coordinating marketing activities.
