JOB SUMMARY:
We are looking for a detail-oriented Admin + Bookkeeping Assistant to manage our administrative and financial operations. The ideal candidate will be organized, proactive, and able to handle multiple tasks efficiently. This role includes overseeing daily administrative duties while ensuring accurate financial record-keeping.
QUALIFICATIONS:
· Proven experience in administrative roles and bookkeeping/accounting.
· Proficiency in accounting software Xero and Microsoft Office.
· Strong attention to detail and organisational skills.
· Fluent in English with excellent verbal and written communication abilities.
· Ability to work independently and as part of a team.
· Experience in a construction company admin/bookkeeping role is preferred but not required.
Responsibilities:
ADMINISTRATIVE DUTIES:
· Manage phone calls, emails, and correspondence.
· Schedule and coordinate meetings and appointments.
· Maintain filing systems and manage office supplies.
· Induction of new staff.
· Monitor staff timesheets daily (sign in and sign out).
· Assist our estimator.
· Nominate fines and toll invoices as necessary.
· Update supervisor of daily activity in the office.
BOOKKEEPING DUTIES:
· Maintain accurate financial records, including accounts payable and receivable.
· Process invoices, receipts, and payments, along with drafting quotes.
· Reconcile bank statements and manage cash flow.
· Ensure compliance with financial regulations and internal policies.
· Maintain up-to-date employee holiday, super, annual and tax records.
OFFICE/FACTORY AREA DUTIES:
· Maintain cleanliness of office, file room and kitchen.
· Restocking fridge and kitchen weekly fortnightly.
