Description:

The Office Administrator will be responsible for providing an efficient and responsive administrative service and providing support to the Irish arm of Malone Group.
Reports to: MD Ireland or designate
Key relationships: All staff Responsibilities
Activities will typically include:

Business and Systems Administration:

  • Front of house representing Malone Group.
  • Greeting and hosting visitors to the office
  • Receiving and transferring phone calls
  • Mail collection, distribution and posting
  • Maintaining office services by organising office operations and procedures.
  • Maintaining all office supplies
  • Maintaining meeting rooms
  • Assisting with office events
  • Travel booking
  • Management of soft facilities management services (cleaner, sanitary etc.) and building maintenance
  • Emptying and starting dishwasher, descaling coffee machine etc
  • Managing supplier and maintenance contracts
  • PRISM administration (Malone Groups enterprise system) including the setting up of suppliers, projects, financial set up, timesheets, starters and leavers.

Human Resource Support:

  • HR data entry on PRISM including updating CPD records and skills matrices
  • Assisting with onboarding of new staff

Other Key Functions:

  • Support Irish management team at monthly meetings
  • Undertake any other duties as requested by the Managing Director
