Description:
Job Summary:
We are seeking a detail-oriented Office Administrator to join our team. The ideal candidate will be responsible for overseeing daily office operations, providing administrative support, and ensuring efficient office management.
We are looking to recruit a Senior Office Administrator for our busy office in Milton Keynes where we design and manufacture clothing, predominately around sports, particularly Motor Racing, Rugby and Football.
The position will see you take the lead role for all administrative functions of the company and become a key liaison for our valued clients and in house team. Your duties will be varied and include:
- General administration such as sales invoicing, invoice entry, VAT quarters, record keeping, chasing late payments, and data entry.
- Manage and maintain company insurance policies, utilities, subscriptions etc.
- Manage and maintain the company’s fire safety, and health & safety policies, training, and compliance documentation.
- Conduct new employee inductions.
- Manage employee’s annual leave, sick leave, parental leave, grievances, and general enquiries.
- Maintain stock levels of our office supplies.
- Answer incoming business and aftersales calls, assist with initial enquiries where possible, and transfer calls to the correct member of our team.
- Liaise with our sales team and/or production team to progress open orders.
- Maintain several email inboxes, respond to emails in a timely and professional manner.
- Produce basic accounting software reports for internal meetings.
- Greet visitors and clients attending our showroom in a professional and friendly manner.
- Report to senior leadership team.
- Other duties at reasonable request.
NECESSARY SKILLS & EXPERIENCE.
- Previous experience in senior administrative roles in a busy office environment is essential.
- Accounting software experience. We use Sage at the moment, but considering a change.
- Strong Microsoft Office 365 experience with ability to create and maintain excel spread sheets.
- Strong communication skills, both verbal and written.
- Patient and attentive with good telephone manner, able to provide an exceptional customer experience.
- Willingness to learn and understand the company’s products and procedures.
- Reliability, proactivity and dependability are key attributes we value.
- Ability to manage multiple tasks and deadlines.
- An analytical mindset, strong literacy skills and excellent attention to detail.
