THE OPPORTUNITY
RAM Iron & Metal is looking for an experienced and talented Office Administrator to join our Team. The Office Administrator, under the direction of the Director of Sales and Marketing will serve as a point of contact for customers with queries about their products, orders and deliveries and provide support to our sales team with contract management, purchasing, account and prospect management.
QUALIFICATIONS & EXPERIENCE
- High school diploma or GED.
- An Associate or Bachelor’s degree in Business Administration, or similar preferred.
- Minimum of two (2) to five (5) years of experience in Sales Administration, or a similar role.
- Proficient in Microsoft word, Excel, Outlook, and Power Point.
- Proficient write, understand and communicate effectively in English.
- Effective time management of self & Sales team deliverables.
- Proficient in creating Reporting documents such as memos, letters, agenda, etc. with minimal direction.
- Strong project lead: provide direction, monitor execution & follow up with senior colleagues and peers to meet deadlines.
- Input of Purchasing tickets with a high level of accuracy (entering and processing information).
Responsibilities:
RESPONSIBILITIES & ACCOUNTABILITES
- Input and manage the full cycle of contracts.
- Ensure the contracts are emailed to the customers
- Calculate commodity pricing, and input into the system as appropriate.
- With Senior Management, coordinate monthly sales meetings ensuring calendar invite is initiated, an agenda is populated, and minutes are generated per meeting.
- Generate monthly and quarterly reports.
- Review purchase order requisition(s) and submit to supplier(s).
- Follow up on purchase orders to ensure products and services arrive when required.
- Respond to customer inquiries as appropriate.
- Update and manage sales software (High Rise).
- Update team on contracts coming due.
- Manage company’s interaction with current and potential customers.
- Schedule and arrange follow up reminders.
- Generate reports such as but not limited to customer satisfaction, sales analysis, summaries of loads, supplier targets and budgets.
- Perform other administrative tasks such as but not limited to customer set ups, intercompany batches, participating and contributing to special projects.
- Book business events including all travel arrangements.
- Purchase baskets and gifts as appropriate for customers.
- Lead and co-ordinate quality assurance practices.
- Deployment of customer surveys, monitor deliverables and present results to team.
- Promptly report and address deficiencies with any unsatisfactory customer service feedback.
- Perform reception and other administrative duties such as distributing incoming mail, administering the distribution of outgoing mail, prepare letters for managers, post and send memos, notices, and holiday postings, prepare boardroom for meetings, shred papers, maintain and replenish inventory of supplies.
